Purpose Reporting to the Associate Director of Exhibitions and Public Programs, the Event Operations Manager will plan and execute events for the Harry Ransom Center that serve researchers, students, faculty, staff, public, members, donors, and external groups. Events range from public programs and lectures, membership programs and receptions, advisory council meetings and receptions, donor events, staff gatherings, and facility rentals to a major fundraising gala held every five years.

Responsibilities Function 1: Program Design & Delivery
Working closely with staff across Programming, Membership, Development, and Marketing, helps develop, deliver, and assess both in-person and virtual programs for the Ransom Center. Manages event logistics from start to finish, including public programs, donor and member events and receptions, and staff functions. Works with caterers, independent contractors, sponsors, fellow staff, and others to ensure all events comply with university and Ransom Center policies and are in keeping with the Center's mission. Participates in event execution and is onsite for the duration of each event, including rehearsals, sound check, load-in/out, set up, and breakdown .
Develop public programs budget and track use of funds.
Function 2: Program Administration
Solicits bids from vendors, negotiates contracts, and follows appropriate university and Ransom Center business office processes. Processes all necessary event forms, purchase requests, payments, and contracts to ensure prompt payment for services. Communicates and coordinates with vendors on vendor guidelines, arrival, load-in, and load-out procedures for all events.
Works with external organizations to facilitate site rentals. Develops and shares event confirmations that include customized quotes and planned schedules for the unique needs of each event. Works with external organizations in-person, by phone, and over email to ensure each external event is thoughtfully executed. Submits invoices to organizations and maintains attendance reports following each event.
Function 3: Site Administration
Coordinates event plans with Ransom Center facilities manager, guards, custodians, technology, and business office staff. Collaborates with relevant staff across Programming, Development, and Marketing to review space use requests and maintains an ongoing schedule of approved external events.
Provides reliable, high-quality administrative support exhibiting excellent communication, follow-up, and ability to take on independent projects. Assists with booking travel, hotel, or other arrangements for guest speakers or invited guests. Duties include but are not limited to maintaining budgets; communicating effectively with Ransom Center colleagues, outside organizations, speakers, and vendors; generating event reports; coordinating and managing special event volunteers; and representing the Ransom Center in a positive and professional manner.
Required Qualifications
Bachelor's degree.
At least three years of experience in program and event operations, event coordination, or venue management.
Proven ability to interact effectively with multifaceted audiences and provide excellent customer service.
Demonstrated professional and calm demeanor in high pressure situations.
Excellent communication and organizational skills and attention to detail.
Strong ability to build and foster positive working relationships with internal and external event partners, vendors, sponsors, and other affiliates.

Corporate Accountability wages powerful campaigns challenging corporate abuse—and behind every campaign victory you’ll find a variety of staff members supporting its success. That’s where you come in. The Executive Assistant works across the organization, operating with a unique bird’s eye view of how campaigns, communications, research, development, and operations all work together to be successful. You’ll work closely with our Executive Director, an activist and leader with decades of experience in corporate campaigning, to help carry out the organization’s mission in the world.
The core of your role will be nailing the day-in and day-out details and logistics for our Executive Director. What you’ll do
Corporate Accountability wages powerful campaigns challenging corporate abuse—and behind every campaign victory you’ll find a variety of staff members supporting its success. That’s where you come in. The Executive Assistant works across the organization, operating with a unique bird’s eye view of how campaigns, communications, research, development, and operations all work together to be successful. Org. Setting and Reporting
This position is located in the Engineering Support Section (ESS), Sourcing Support Service in the Logistics Division, Office of Supply Chain Management, Department of Operational Support (DOS) at Headquarters. The Department of Operational Support was established to provide end-to-end operational support, advisory services and other solutions to operating entities across the Secretariat, including other departments, offices-away-from headquarters, field missions, and regional commissions. The Office of Supply Chain Management includes the Office of the Assistant Secretary-General for Supply Chain Management, Logistics Division, Procurement Division, Uniformed Capabilities Support Division, Umoja Coordination Service, Global Service Centre and the Enabling and Outreach Service. The Logistics Division performs a central role in the implementation of end-to-end supply chain management across the United Nations operations. The Division provides direction and advice on logistical matters, monitors and assesses the delivery of strategic transportation and support services, and directs the delivery of transportation and specialist support services in the functional areas of air transport, ground transport, engineering, medical and supply, inclusive of fuel, rations and general supplies and security equipment. Responsibilities
Within delegated authority, the Chief, Engineering Support Section (ESS) will be responsible for the following duties: • Directs the work of the Section, manages its resources and exercises supervisory control over the professional execution of the work carried out within ESS, ensuring that missions' engineering support requirements are met in accordance with established policies, procedures and standards in the most efficient and expeditious manner. • Oversees and coordinates the Section's ongoing support activities by directing responses to operational requirements, defining issues and means, taking decisions and rendering advice on the resolution of complex engineering support problems of great intricacy, monitoring/following-up on matters for which the Section has responsibility and approving all outgoing correspondence. • Establishes a broad range of performance goals (short- and long-term) and improvement projects for the Engineering Support Section to enhance responsiveness and efficiency of the engineering support to field missions, and monitors their implementation and related achievements. • Ensures the timely and responsive implementation of the Performance Appraisal System (PAS) within the Section and provides general guidance and counseling to the staff of the Section as necessary. • Provides general engineering policy guidance, technical support and specialist advice on the complex, multi-faceted civilian and military engineering support activities, such as vertical and horizontal construction projects; buildings management activities; technical services including maintenance, repair and rehabilitation programmes; engineering contracts such as specialized support services; and the acquisition of engineering/construction related equipment goods and related assets. • Establishes and manages a portfolio of contracts to meet engineering related requirements in accordance with established policies, developed programmes and category management strategies, with a total value in excess of US$ 160 million annually. • Supports the overall management and control of UN-owned facilities, infrastructure and engineering equipment, which involves asset redistribution, establishment of types and quantities of engineering assets to be kept on stockpile and decisions on priorities for engineering assets required by field missions. • Undertakes periodic inspection visits to field missions to remain current on problems and features of the construction, building management and military (combat) engineering related support operations. • Develops strategy and direction for the engineering support in field missions, determines corresponding support concepts and generic resource requirements, entailing the formulation or updating of policies, procedures and practices, including, but not limited to the development of improved-programming methods, the updating of engineering related documentation contained in the logistics directives and other field operations related manuals, and the collaboration in developing better contracting policies and contracts management procedures. • Oversees the development, implementation and up-dating of comprehensive guidelines and contingency plans on the engineering support in field missions, such as accommodation and other engineering standards, scales of issue, standardization of equipment, property control, memoranda of understanding, guidelines to troop contributing countries and Letters of Assist, and liaises on these issues with the counterparts in field missions, DOS and other Departments within the Secretariat. • Initiates, in liaison with other Divisions and Services of the Office of Supply Chain Management and counterparts in other Departments and UN Agencies, the long-range development planning for an efficient establishment, sustainment and liquidation of prospective UN peace-keeping or other missions and directs the formulation of corresponding master plans and procedures pertaining to engineering support aspects. • Deputizes for the Service Chief during absences. • Approves draft response to internal and external Audit notes, observations, or management letters on issues under the purview of the Section. Education

This position is located in the Engineering Support Section (ESS), Sourcing Support Service in the Logistics Division, Office of Supply Chain Management, Department of Operational Support (DOS) at Headquarters. The Department of Operational Support was established to provide end-to-end operational support, advisory services and other solutions to operating entities across the Secretariat, including other departments, offices-away-from headquarters, field missions, and regional commissions. The Office of Supply Chain Management includes the Office of the Assistant Secretary-General for Supply Chain Management, Logistics Division, Procurement Division, Uniformed Capabilities Support Division, Umoja Coordination Service, Global Service Centre and the Enabling and Outreach Service. The Logistics Division performs a central role in the implementation of end-to-end supply chain management across the United Nations operations. The Division provides direction and advice on logistical matters, monitors and assesses the delivery of strategic transportation and support services, and directs the delivery of transportation and specialist support services in the functional areas of air transport, ground transport, engineering, medical and supply, inclusive of fuel, rations and general supplies and security equipment. The incumbent will report to the Chief of Sourcing Support Service or designated official.
Responsibilities
Within delegated authority, the Chief, Engineering Support Section (ESS) will be responsible for the following duties: • Directs the work of the Section, manages its resources and exercises supervisory control over the professional execution of the work carried out within ESS, ensuring that missions' engineering support requirements are met in accordance with established policies, procedures and standards in the most efficient and expeditious manner. • Oversees and coordinates the Section's ongoing support activities by directing responses to operational requirements, defining issues and means, taking decisions and rendering advice on the resolution of complex engineering support problems of great intricacy, monitoring/following-up on matters for which the Section has responsibility and approving all outgoing correspondence. • Establishes a broad range of performance goals (short- and long-term) and improvement projects for the Engineering Support Section to enhance responsiveness and efficiency of the engineering support to field missions, and monitors their implementation and related achievements. • Ensures the timely and responsive implementation of the Performance Appraisal System (PAS) within the Section and provides general guidance and counseling to the staff of the Section as necessary. • Provides general engineering policy guidance, technical support and specialist advice on the complex, multi-faceted civilian and military engineering support activities, such as vertical and horizontal construction projects; buildings management activities; technical services including maintenance, repair and rehabilitation programmes; engineering contracts such as specialized support services; and the acquisition of engineering/construction related equipment goods and related assets. • Establishes and manages a portfolio of contracts to meet engineering related requirements in accordance with established policies, developed programmes and category management strategies, with a total value in excess of US$ 160 million annually. • Supports the overall management and control of UN-owned facilities, infrastructure and engineering equipment, which involves asset redistribution, establishment of types and quantities of engineering assets to be kept on stockpile and decisions on priorities for engineering assets required by field missions. • Undertakes periodic inspection visits to field missions to remain current on problems and features of the construction, building management and military (combat) engineering related support operations. • Develops strategy and direction for the engineering support in field missions, determines corresponding support concepts and generic resource requirements, entailing the formulation or updating of policies, procedures and practices, including, but not limited to the development of improved-programming methods, the updating of engineering related documentation contained in the logistics directives and other field operations related manuals, and the collaboration in developing better contracting policies and contracts management procedures. • Oversees the development, implementation and up-dating of comprehensive guidelines and contingency plans on the engineering support in field missions, such as accommodation and other engineering standards, scales of issue, standardization of equipment, property control, memoranda of understanding, guidelines to troop contributing countries and Letters of Assist, and liaises on these issues with the counterparts in field missions, DOS and other Departments within the Secretariat. • Initiates, in liaison with other Divisions and Services of the Office of Supply Chain Management and counterparts in other Departments and UN Agencies, the long-range development planning for an efficient establishment, sustainment and liquidation of prospective UN peace-keeping or other missions and directs the formulation of corresponding master plans and procedures pertaining to engineering support aspects. • Deputizes for the Service Chief during absences. • Approves draft response to internal and external Audit notes, observations, or management letters on issues under the purview of the Section. Initiates remedial action as required. • Maintains close contacts or liaison with other offices in and outside of the Secretariat to ensure free exchange of information and provision of full assistance and co-operation on engineering and related support matters in connection with peace-keeping and other field mission activities. • Participates in initial, periodic and exit discussions and briefings with SRSGs, Force Commanders, Chief Military Observers, Chiefs of Staff, Chief Administrative Officers (CAO/DOA) and other senior officials of peace-keeping and other field missions. • Liaises with Executive Office (HQCSS) on matters relating to the Section's resource requirements such as staffing, personnel administration, equipment and supplies.

Education

Work Experience

The Bilingual Administrative Coordinator II is responsible for virtual and in-person event planning, calendar management, travel arrangements and logistical support, translation and interpretation (English/Spanish), and budget.
Roles and Key Responsibilities
Event Planning and Travel Logistics for Chapter Management, Campaigns and Hispanic Engagement
Plans agendas, schedules, and coordinates logistics for internal/external meetings and events for the Director, Movement-building & Issue-based Campaigns, for the Director of the Campaign Team, and three (3) National Advisors
Arranges travel for the Director, Movement-building & Issue-based Campaigns, for the Director of the Campaign Team, and (3) National Advisors including but not limited to coordination of tickets, visas, processing travel-expense reporting and reimbursements.
Provides travel support for international immersion trips, speakers tours and advocacy Hill days
Serves on M2’s virtual production team handling all aspects of some virtual events, including video recording, production and publishing
Finance & Budget
Collaborates with Executive Assistant to manage departmental financial matters, including ongoing monitoring of budgets across all units, credit card reconciliation, payment processing, and guidance regarding financial systems and processes
Data and Communications Platforms
Manages content for relevant SharePoint sites and Microsoft (MS) Teams channels, including posting documents, sharing relevant communications, and organizing information
Updates Gateway data and runs Gateway reports
Update and curate bilingual content for constituent digital platforms, including, Gateway Communities
Translation Interpretation & Support
Translates (English/Spanish) materials for a variety of audiences: internal and external
Interprets (English/Spanish) for M2 events as necessary
Provides translation support for telephone inquiries as needed
Administrative Support
Facilitates engagement of consultants, and hiring of interns and/or summer hires as needed
Formats, edits, proofreads, reproduces, and distributes materials, including PowerPoint presentations, spreadsheets, reports, and other documents in English and Spanish as needed
Attends meetings and produces meeting minutes and notes as needed
Manages departmental timesheets and monitors leave requests
Orders supplies and equipment as needed
Serves as the department’s CRS brand ambassador to ensure adherence to CRS guidelines in collaboration with Marketing and Communication (MARCOM)
Manages routine inquiries received by the department and Director II, Movement-building & Issue-based Campaign team (English/Spanish)
Conducts research as necessary for various projects
