Purpose Reporting to the Associate Director of Exhibitions and Public Programs, the Event Operations Manager will plan and execute events for the Harry Ransom Center that serve researchers, students, faculty, staff, public, members, donors, and external groups. Events range from public programs and lectures, membership programs and receptions, advisory council meetings and receptions, donor events, staff gatherings, and facility rentals to a major fundraising gala held every five years.

Responsibilities Function 1: Program Design & Delivery
Working closely with staff across Programming, Membership, Development, and Marketing, helps develop, deliver, and assess both in-person and virtual programs for the Ransom Center. Manages event logistics from start to finish, including public programs, donor and member events and receptions, and staff functions. Works with caterers, independent contractors, sponsors, fellow staff, and others to ensure all events comply with university and Ransom Center policies and are in keeping with the Center's mission. Participates in event execution and is onsite for the duration of each event, including rehearsals, sound check, load-in/out, set up, and breakdown .
Develop public programs budget and track use of funds.
Function 2: Program Administration
Solicits bids from vendors, negotiates contracts, and follows appropriate university and Ransom Center business office processes. Processes all necessary event forms, purchase requests, payments, and contracts to ensure prompt payment for services. Communicates and coordinates with vendors on vendor guidelines, arrival, load-in, and load-out procedures for all events.
Works with external organizations to facilitate site rentals. Develops and shares event confirmations that include customized quotes and planned schedules for the unique needs of each event. Works with external organizations in-person, by phone, and over email to ensure each external event is thoughtfully executed. Submits invoices to organizations and maintains attendance reports following each event.
Function 3: Site Administration
Coordinates event plans with Ransom Center facilities manager, guards, custodians, technology, and business office staff. Collaborates with relevant staff across Programming, Development, and Marketing to review space use requests and maintains an ongoing schedule of approved external events.
Provides reliable, high-quality administrative support exhibiting excellent communication, follow-up, and ability to take on independent projects. Assists with booking travel, hotel, or other arrangements for guest speakers or invited guests. Duties include but are not limited to maintaining budgets; communicating effectively with Ransom Center colleagues, outside organizations, speakers, and vendors; generating event reports; coordinating and managing special event volunteers; and representing the Ransom Center in a positive and professional manner.
Required Qualifications
Bachelor's degree.
At least three years of experience in program and event operations, event coordination, or venue management.
Proven ability to interact effectively with multifaceted audiences and provide excellent customer service.
Demonstrated professional and calm demeanor in high pressure situations.
Excellent communication and organizational skills and attention to detail.
Strong ability to build and foster positive working relationships with internal and external event partners, vendors, sponsors, and other affiliates.
Demonstrated problem-solving and decision-making abilities.
Outstanding time management and organizational skills.
Relevant education and experience may be substituted as appropriate.
Preferred Qualifications
More than three years of full-time professional experience in program and event management.
University or museum/library setting experience.

Essential Function: The Chief Development Officer (CDO) is responsible for developing, planning, and implementing the fundraising program to provide for the short- and long-term needs of the organization. The CDO develops and implements a strategic partnerships and corresponding action plan, to generate funding to include corporate, foundation, government investments, events, grant writing and high donor giving for both the LULAC 501(c)3 and 501(c)4.
Creates annual strategic development fundraising plan by analyzing past efforts, setting donor strategies, determining calendar of activities, and establishing goals and evaluate fundraising Sets annual monetary goals and budgets according to short- and long-term goals.
Researches and identifies opportunities to write and submit major requests for proposals as outlined in the annual fundraising plan to generate Develop supplementary materials, marketing plan, and program timelines as requested by sponsor. Determine success metrics and develop progress reports to funders.
Maintains foundation and corporate relations by strengthening working relationships with foundation and corporate giving representatives. Actively participates in external engagements or gatherings where target investors are present, using these opportunities to deepen relationships with current investors and to advance strategies and secure new partners. Schedule face-to-face meetings with major contributors and prospects, send acknowledgement, provide program updates, and required reports, and shares media promotions with funders, meets any other funder requirements.
Maintains a list of potential financial donors including corporations, foundations, and individuals
Conducts program design, goal setting & finance by participating in internal programs’ meetings where development perspective is required, including corporate Collaborate and coordinate with top management to set annual fundraising goals. Create new innovative programs to pitch to funders.
Coordinates with Chief Financial Officer (CFO) of grant portfolios, budget creation, and ensures compliance with government and grant regulations. Prepare invoices and conduct collections from funders, manage fiscal agent agreements, and provide other finance and budget planning support to CFO as requested by the CEO.
Serves as the onsite event liaison to greet donors, sponsors , and ensure all agreed upon services are carried out as specified per the signed agreement.
Manages information using database and other software as Oversees online giving strategies and develops fundraising tools such as partnership opportunities guide, programs and event reporting as required.
Serves as liaison with Corporate Alliance members and prepares requirements
Responsible for management of Development This includes assignments, providing guidance to accomplish team goals, setting up annual goals and conducting performance rating.

Creates annual strategic development fundraising plan by analyzing past efforts, setting donor strategies, determining calendar of activities, and establishing goals and evaluate fundraising Sets annual monetary goals and budgets according to short- and long-term goals.
Researches and identifies opportunities to write and submit major requests for proposals as outlined in the annual fundraising plan to generate Develop supplementary materials, marketing plan, and program timelines as requested by sponsor. Maintains foundation and corporate relations by strengthening working relationships with foundation and corporate giving representatives. Schedule face-to-face meetings with major contributors and prospects, send acknowledgement, provide program updates, and required reports, and shares media promotions with funders, meets any other funder requirements.
Maintains a list of potential financial donors including corporations, foundations, and individuals
Conducts program design, goal setting & finance by participating in internal programs’ meetings where development perspective is required, including corporate Collaborate and coordinate with top management to set annual fundraising goals. Create new innovative programs to pitch to funders.
Coordinates with Chief Financial Officer (CFO) of grant portfolios, budget creation, and ensures compliance with government and grant regulations. Prepare invoices and conduct collections from funders, manage fiscal agent agreements, and provide other finance and budget planning support to CFO as requested by the CEO.
Serves as the onsite event liaison to greet donors, sponsors , and ensure all agreed upon services are carried out as specified per the signed agreement.
Manages information using database and other software as Oversees online giving strategies and develops fundraising tools such as partnership opportunities guide, programs and event reporting as required.

The development specialist will work with the University of Texas Libraries (UTL) Director of Development to support the implementation and execution of the fundraising, development and advancement goals and initiatives of LLILAS Benson Latin American Studies and Collections (LLILAS Benson).
Responsibilities

Hope College is seeking the next Mary Riepma Ross Director of Special Collections, an endowed, 11 month non-tenure track faculty position within the library. Reporting to the Dean of Libraries, this position is responsible for the management of physical and financial resources, planning and implementation of programming and policies, teaching, community outreach and security of archival and rare book collections. The Archivist ensures that the collections represent the broadest possible spectrum of viewpoints and human experience in accordance with Hope’s commitment to equity and inclusion.
Special Collections at Hope College include the Joint Archives of Holland, and the Van Wylen Library Rare Books Collection . The Archives is housed in the Theil Research Center on Hope College’s campus. It serves as a regional center for local history research, specializing in Hope College, the history of the Dutch in America and the Holland, Michigan, area. The Archives has a strong record of mentoring undergraduate research and writing. The collections include works and writings from Hope College students and faculty, records from administrative offices, photographs, recordings, and videos documenting the history of the College from 1866 to present, the community of Holland, and Reformed Church in America missionaries. It currently shares the building with the Van Raalte Institute . ArchiveSpace was implemented in 2021 and many of the digitized materials are held in Digital Commons and in Artstor Public Collections , two online repositories. As a member of the library staff, this position works closely with nine faculty librarians and serves on the Library Leadership Team.
The Rare Books Collection at Van Wylen LIbrary, contains many rare Bibles, and volumes related to art, religion, Dutch history, Asian history and the history of science and aspires to be illustrative of the history of books and print culture.

Hope College is seeking the next Mary Riepma Ross Director of Special Collections, an endowed, 11 month non-tenure track faculty position within the library. Reporting to the Dean of Libraries, this position is responsible for the management of physical and financial resources, planning and implementation of programming and policies, teaching, community outreach and security of archival and rare book collections. The Archivist ensures that the collections represent the broadest possible spectrum of viewpoints and human experience in accordance with Hope’s commitment to equity and inclusion.
Special Collections at Hope College include the Joint Archives of Holland, and the Van Wylen Library Rare Books Collection . The Archives is housed in the Theil Research Center on Hope College’s campus. It serves as a regional center for local history research, specializing in Hope College, the history of the Dutch in America and the Holland, Michigan, area. The Archives has a strong record of mentoring undergraduate research and writing. The Associate Director of Academic Affairs & Collections at The John & Mable Ringling Museum of Art is a 12-month salaried Faculty position of the Florida State University. Responsibilities
The Public Relations and Marketing Program Associate works under the direction of the PR & Marketing Manager, supports the administrative functions/operations of the Communications and Marketing Department, and assists with Public Relations.
Tasks in a typical day include:

Assists in the maintenance of supplies inventory. Manages and traffics direct mail and media insertion orders. Maintains all departmental files and records for archival and grant management requirements.
Assists with all local PR inquires, releases, and local news/media contacts. Maintains media distribution lists. Compiles Press Kit Materials for distribution to media representatives. Monitors and tracks press releases. Uses CISION to produce media reports. Arranges and leads tours of the Museum campus for visiting media. Uses golf cart for tours with visiting media as needed. Maintains library of images. Coordinates with curatorial and collections department to obtain images and ensure appropriate image credits. Responds to requests for images from the media and internal departments.
Assists with management of internal communication initiatives, such as providing talking points to staff regarding programs, exhibitions, and significant media-related events. Compiles lists of upcoming exhibitions, programs, and events for inclusion in various community calendars and local guides. Prepares bi-monthly Ringling public events calendar for print. Ensures consistency of brand standards and institutional naming conventions by proofreading content.
Runs Tessitura Marketing Reports and serves as the department’s Tessitura specialist by attending trainings and self-directed learning as appropriate. Compiles and interprets marketing and admissions data for review by the Marketing Director and PR & Marketing Manager. Provides the grant coordinator with documentation and reporting of marketing efforts in compliance with grant guidelines.
Serves as the workflow coordinator for the Basecamp computer program used by museum staff to collaborate on marketing projects and publications. Provides support to the PR & Marketing Manager in managing advertising timetables in various forms of media. Maintains project files and project tracking in an efficient and timely manner. Facilitates the print production process including obtaining estimates (quotes), packaging files for print, reviewing proofs and ensuring the delivery of quality print products. Performs other duties as assigned.
Qualifications
High school diploma/equivalency and four years of experience. Note: post-high school education may substitute for experience at the equivalent rate.
Excellent communication and writing skills.
Ability to multitask in a fast-paced, deadline-driven environment.
Outstanding editing and proofreading skills.
Experience with Microsoft Word, Excel, PowerPoint, Outlook, and Publisher or equivalent software.
High comfort level with technology.
Previous purchasing, accounting, public relations, marketing, and/or administrative experience.
A valid Florida driver's license or ability to obtain prior to hire.
