General Position Summary
The Senior Global Benefits Coordinator is responsible for supporting the administrative responsibilities of the Compensation and Benefits teams of Mercy Corps, ensuring Benefits meet the unique support needs of team members in 40+ global locations. The Senior Global Benefits Coordinator supports all compensation, benefits and wellness programs for US based and international expatriate staff. This individual will support the Manger Global Benefits by administering strategies and programs that are aligned and integrated with business plans, which will enhance our talent attraction, retention, performance, and development initiatives globally. The position will also support Mercy Corps compensation and benefit programs through consistently applying and administering internal policies and government regulations with a strong diversity and equity lens. A key element of the role focuses on the on building, maintaining, and strengthening relationships as well as an integrated and strong service delivery model.
Essential Responsibilities
Supports US and non-US benefits programs, policies, and initiatives.
Communicate with insurance providers and monitor payroll deductions.
Contributes to the completion of accurate financial reports in a timely manner.
Assists with escalated HR requests in a timely manner.
Supports the operationalization of innovation and process improvements that support the organization’s growth, efficiencies, and capability enhancement.
Supports compliance of the benefit plans with the Affordable Care Act (ACA). Supports data analytics to support and shape business decision-making.
Supports finance to ensure accurate reporting of benefit costs for budgeting purposes.
Reconcile and process complex benefit related invoices for approval and payment.
Ensure timely payment to vendors, initiates monthly reconciliation of benefit plan deductions by validating/correcting inaccuracies between HRIS and vendor systems.
Reconcile financial statements.
Provide first-level support concerning benefits to managers and team members in an effective, efficient and engaging manner.
Provide census and audit support quarterly and annually.
Participates in other duties as assigned.
Support the compensation team on any specific duties as assigned.

What makes this role unique?
Within your first few months in this role, you will have the opportunity to put a new Language Access Plan into action and lead the agency through some important changes. A key aspect of this work will be to ensure that we have high-quality, timely language services through a combination of internal language teams and external vendors. You will also work to bring consistent and clear language access guidance and training to teams that serve and regulate diverse communities across the state, which can be both challenging and highly rewarding. Help make Ecology’s information and services accessible to more Washingtonians by leading implementation of the new Language Access Plan.
Empower agency staff to improve language access through guidance, training, and technical support.
Help our internal Multilingual Interpretation and Translation Teams (MITT) feel supported, valued, and effective through your coordination and leadership.
Streamline processes and improve language services by working collaboratively with MITT members and team sponsors.
Build clarity and consistency in how we work with external vendors to ensure high quality language services.
Leverage the enthusiasm and capacity of the Language Access Work Group to creatively and collaboratively work on a range of issues and projects.
Qualifications
Required Qualifications: Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:

Position:
The Finance Coordinator is a full-time position, working directly with the Director of Finance to support accurate financial documentation and processing for the organization. The Finance Coordinator is responsible for assisting in the implementation of fiscal operations and conducting bookkeeping functions, allowing Generation Hope to best serve families nationwide.

The Operations Coordinator is a full-time position, working directly with the Director of New Orleans Programming to enhance Generation Hope’s internal and external effectiveness in the New Orleans area. The Operations Coordinator serves as a point of contact for the organization in the New Orleans area and is responsible for providing outstanding customer service, being an enthusiastic professional, and building relationships with stakeholders. The Operations Coordinator is a full-time position, working directly with the Director of New Orleans Programming to enhance Generation Hope’s internal and external effectiveness in the New Orleans area. The Operations Coordinator serves as a point of contact for the organization in the New Orleans area and is responsible for providing outstanding customer service, being an enthusiastic professional, and building relationships with stakeholders. This position collaborates with the home office Operations, Finance, and Development teams to support day-to-day activities and support donor management systems and tasks as they relate to the New Orleans office.
Responsibilities:
Operations
Implement and maintain New Orleans office operations and procedures, handling correspondences, designing and adhering to document management and filing systems, reviewing supply requests, and performing clerical functions to improve office efficiencies
Make recommendations that increase efficiency, maximize operational budget and nurture team culture
Greet visitors by welcoming and directing them appropriately, including answering incoming calls, relaying messages, and fielding general inquiries
Provide logistical support for large meetings taking place in and out of the New Orleans office
Check the mail regularly and ensure staff receive relevant mail
Manage New Orleans Programming calendar and communicate any scheduling changes to relevant staff
Procure and maintain printers and other office equipment, including working with vendors and suppliers and assisting staff with use and troubleshooting of equipment
Manage local facility needs, ensuring all spaces are appropriately cleaned, maintained and stocked, ordering necessary tools, equipment, and supplies, and managing the inventory system
Research any needed equipment and software and makes recommendations to the Director of New Orleans Programming
Serve as the liaison with outside vendors/service providers related to operations needs, such as subscription-based services, office space, and IT firm
Monitor and keep the organization’s New Orleans area memberships current (i.e. Chamber of Commerce, etc.)
Train new staff on the CRM and work with the home office Operations team to maintain an internal usage guide to assist staff with how to use the database on an ongoing basis
Work with the Director of New Orleans Programming to plan and support site-specific events (i.e., team retreats, team morale activities, etc.)
In partnership with the Director of New Orleans Programming and the home office Operations team, support staff onboarding
Support the Director of New Orleans Programming with the Local Advisory Board including meeting scheduling and planning, preparation of meeting materials, and ongoing local board support
Serve as thought partner to the Director of New Orleans Programming and other New Orleans staff regarding improving the experience for staff, families and stakeholders
Development/Communications
Provide regular content (i.e. photos and anecdotes) to the home office Communications team to assist in telling the story of Generation Hope’s work in New Orleans
Partner in creating documents, presentations, and other materials involving administrative work in tandem with the home office Development team (i.e. preparing for meetings with local donors)
Assist with compiling compliance-related documents and receipts for New Orleans related grant proposals and reports
Bookkeeping and Finance Administration
Partner with the home office Finance team to manage all local accounting activities (e.g. deposits, check requests) and serve as local point of contact for questions regarding accounting processes and procedures
Manage the tuition check process for all New Orleans Scholars, including making and tracking any necessary refund requests
Works with the home office Finance team to monitor New Orleans related financial pledges in the donor database
Programming
Support the execution of Scholar Program events by assisting with venue and vendor research, recruiting volunteers, ordering supplies, assisting with set-up, etc.
Manage all in-kind donations for the New Orleans site, including executing the Fall and Spring Wishlist and Holiday gift campaign, w orking with in-kind donors to coordinate acceptance and drop-off of items, and ensuring that in-kind donation forms are completed accurately and in a timely manner
Assist in recruiting volunteers to support New Orleans programming
Support the Director of Programming in tracking Scholar and mentor applications and required paperwork and scheduling interviews

To qualify for this position, you should have:

An Associate’s degree in nonprofit management, finance management, finance, and or business administration or a similar degree program or a combination of training and experience
Minimum 4 years of operational and office management experience, preferably in a nonprofit organization

The Billing Coordinator is responsible for the day-to-day administration of billing procedures and preparation of client billing by compiling data from client billing guidelines and preparing invoices. RESPONSIBILITIES
The College Program Coordinator, Budgeting primary responsibilities include but are not limited to:
Direct Service (30%)
Support Wave-Makers through federal, state, and institutional financial aid application and renewal processes, paying attention to critical deadlines
Work with Wave-Makers to identify and overcome financial obstacles that prevent them from succeeding
Advise Wave-Makers on financial aid and CAP scholarship policies and guidelines, budgeting skills, and loan and repayment options
Provide financial aid and literacy advising to Wave-Makers and their families through presentations, workshops, seminars, group working sessions, and one-on-one meetings
Work collaboratively with Making Waves Foundation staff to ensure that Wave-Makers receive excellent financial services
Administrative Responsibilities (50%)
Maintain detailed and accurate records in the program team's Salesforce database, including Wave-Maker communication, task completion, budgets, scholarship payments, and financial aid
Process scholarship payment requests and petitions in accordance with policies and guidelines
Utilize Salesforce reports and list views to measure progress against goals and inform Wave-Maker outreach
Program and Organizational Support (20%)
Advance, lead, or develop programming in the following areas:
Financial literacy workshops and newsletters
Curriculum development
Complete projects and support team members as needed
Attend Making Waves Foundation and Making Waves Academy events as assigned
