Job Description

The Oregon Health Authority is modernizing and expanding their IT infrastructure and currently has a fantastic opportunity for an Administrative Office Coordinator with advanced proficiency in Microsoft Office, to join an excellent team and work to advance their IT operations.

What you will do!

As an Administrative Office Coordinator, you will provide administrative, technical, clerical and office management support to the Solution Development and Delivery (SDD) team within the Office of Information Services (OIS) including section managers and staff. You will also provide support to the OIS Business Operations unit as needed.

 

In this role, you will ensure that clerical and logistical functions of the section operate in an orderly fashion as well as establish and maintain procedures and other controls necessary to carry out assigned program activities.

WHAT WE ARE LOOKING FOR:

  • (a) Two (2) years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. OR (b) One year of postsecondary education AND One (1) of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. OR (c) An equivalent combination of training and experience.
  • Advanced skills in Microsoft Outlook for email and calendaring including creating rules, alerts and effective use of voting buttons.
  • Ability to serve as Microsoft SharePoint Site Coordinator in partnership with other Site Coordinators.
  • Advanced skills in Skype for Business or similar online communication software including setting up use of SMART boards for meetings.
  • Ability to create pivot tables and spreadsheets with embedded macro functions using Microsoft Excel.
  • Ability to use Microsoft PowerPoint in the creation of animated presentations.
  • Basic skills with Microsoft Visio to create workflow diagrams and basic drawings.
  • Experience retrieving files and information from SharePoint sites.
  • Experience updating and saving information in SharePoint.
  • Strong multi-tasking skills.
  • Excellent written and verbal communication and presentation skills.
  • Experience in promoting a culturally competent and diverse work environment.
