Position Description
America Votes is currently seeking a Development & Grants Assistant to join our diverse and high performing Development & Grants team. Reporting to the Director of Development, the Development & Grants Assistant serves as the backbone of department operations by ensuring all administrative processes are in place to execute the department's work. This includes, working closely with other departments to ensure compliance needs are met, assisting with contribution tracking and acknowledgement, supporting donor communication needs, and other related projects as assigned. This is a temporary position, ending on March 31, 2025.

Responsibilities
Support Grants Manager in working with finance and legal teams to ensure grantees have submitted necessary documentation for tracking.
Provide additional support on tracking and summarizing grantee reporting for internal and external communications.
Coordinate with the political department and state staff to gather information for regular funder updates on overall program execution.
Support the productions of various donor communications including research, content collection, copy-editing, etc.
Support the executing of in-person and virtual donor briefings (including slide administration and management).
Provide dedicated administrative support for fundraising principals, to include assistance with scheduling, meeting prep, and other logistical needs.
Manage the EveryAction platform, covering all data entry and system maintenance.
Maintain all contribution related information including invoices and contribution instructions.
Manage a weekly "state highlights" report summarizing key developments from target states.
Support the logistics of State Summit sponsorships deliverable collection and provide additional assistance as needed.
Attend fundraising events, meetings, and gatherings as needed.
Provide additional support as needed for dedicated organizational projects that impact department work.
Qualifications
Has experience in a finance or data role in a fast-paced environment

Familiarity with databases and fundraising management tools (EveryAction experience preferred)
Solid problem-solving and communication skills - both verbal and written.
Experience managing sensitive information with professionalism and confidentiality.
Ability to manage up and across teams
Basic knowledge of c3/c4/PAC designations
Proficiency in Google suite.
Compensation
The salary for this position will be between $53,000 and $58,000 and depend upon the applicant's experience. Job Purpose
The Associate Director recruits, evaluates, and counsels prospective and admitted prospective students. Associate Directors travel extensively (10-15 weeks annually), recruit and counsel prospective and admitted students for undergraduate admission, implement recruitment strategies, and manage assigned recruitment territories. Associate Directors review applicants for undergraduate admissions. Associate Directors have both high level programmatic and supervisory responsibilities (supervision includes Admissions Counselors and/or Assistant Directors). Associate Directors work closely with leadership in the Division of Enrollment Planning to research and develop recruitment strategies to reach enrollment goals.
Minimum Requirements
A Bachelor’s degree and at least 3 years of admissions experience with supervisory experience required. Priority given to applicants with a Master’s degree. An understanding of admissions procedures and the college selection process and an ability to work with diverse student populations is necessary. Ability to travel for extended periods of time. Strong planning, organizing, technology, and oral and written communication skills are essential, as is the ability to work cooperatively with other staff members and the college community. The Associate Director recruits, evaluates, and counsels prospective and admitted prospective students. Minimum Requirements
A Bachelor’s degree and at least 3 years of admissions experience with supervisory experience required. Priority given to applicants with a Master’s degree. An understanding of admissions procedures and the college selection process and an ability to work with diverse student populations is necessary. Ability to travel for extended periods of time. Strong planning, organizing, technology, and oral and written communication skills are essential, as is the ability to work cooperatively with other staff members and the college community. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Must possess excellent communication, organization, and customer service skills. Must have considerable knowledge, skills, and ability in computer operations, data entry, Microsoft Office Suite, and the ability to work closely with the other members of the admissions staff and across campus. We are currently seeking candidates with a background in avian and/or small mammal care to join the Mammal and Bird (Endotherm) team at the Loveland Living Planet Aquarium. The position encompasses all aspects of animal care, exhibit maintenance, and off exhibit management areas under the direction of the Curator and Assistant Curator of Mammals and Birds. Duties
What makes this role unique? You will assist your team members on the Technical Team to ensure we are receiving all necessary new hire paperwork for new employees, and for any internal movement actions for existing Ecology employees. You will help complete student loan forgiveness forms, verifications of employment forms, some inquiries from the Employment Security Department, assist with HRMS entry for select actions, and help to ensure our central files are up-to-date and maintained. What you will do:
Manage the onboarding paperwork for Washington Conservation Corps (WCC) and Ecology Youth Corps (EYC) members, by accurately entering new/rehires and separations into in the Human Resource Management System (HRMS), complete Personnel Action Forms (PA40’s) for EYC crew members and submit paperwork to our payroll partners.
Track paperwork for all Ecology hires, to ensure we are receiving all necessary new hire forms. These forms include employee information, affirmative action and demographics, I-9, new employee checklists, and emergency contact.
Complete Public Service Loan Forgiveness forms as they are received.
Receive and complete employment verifications received via telephone, fax, email, or mail by verifying employment of current or former employees in a timely manner. Process and complete necessary forms or letters, providing our payroll partners with the necessary forms to complete the request.
Assist in maintaining up-to-date position and personnel files. This includes printing completed, approved paperwork, and filing them in the appropriate place in the correct file.
Qualifications
Required Qualifications: Years of required experience indicated below are full-time equivalent years. Full-time equivalent experience means that any experience where working hours were less than 40 hours per week will be prorated in order to meet the equivalency of full-time. We would calculate this by looking at the total hours worked per week, divide this by 40, and then multiply by the total number of months worked. Examples of the proration calculations are:
30 hours worked per week for 20 months: (30/40) x 20 months = 15 months full-time equivalent
20 hours worked per week for 12 months: (20/40) x 12 months = 6 months full-time equivalent
Experience can be gained through various combinations of formal professional employment, education, and volunteer experience. See below for how you may qualify. WHAT YOU NEED TO KNOW: In this position you provide administrative support for two reference testing laboratories (IRL) the American Rare Donor Program (ARDP) staff, and will act as a production assistant for a peer-reviewed scientific publications released quarterly. Administrative support involves placing internal and external purchases, scheduling meetings, test report management and billing support as well as managing ARDP communications to rare donors, including through use of a custom web-based application. Production assistant tasks involve communication with authors, peer-reviewers, subscribers and e-publishing staff as well as use of a web-based platform for manuscript submission and peer-review. A successful candidate will have strong computer and organizational skills, be able to manage multiple tasks and multiple projects simultaneously, and be self-motivated, with excellent written and oral communication skills. Review correspondence for consistency with corporate policies and practices. May assist in the development of presentations.
