Position Description
America Votes is currently seeking a Development & Grants Assistant to join our diverse and high performing Development & Grants team. Reporting to the Director of Development, the Development & Grants Assistant serves as the backbone of department operations by ensuring all administrative processes are in place to execute the department's work. This includes, working closely with other departments to ensure compliance needs are met, assisting with contribution tracking and acknowledgement, supporting donor communication needs, and other related projects as assigned. This is a temporary position, ending on March 31, 2025.

Responsibilities
Support Grants Manager in working with finance and legal teams to ensure grantees have submitted necessary documentation for tracking.
Provide additional support on tracking and summarizing grantee reporting for internal and external communications.
Coordinate with the political department and state staff to gather information for regular funder updates on overall program execution.
Support the productions of various donor communications including research, content collection, copy-editing, etc.
Support the executing of in-person and virtual donor briefings (including slide administration and management).
Provide dedicated administrative support for fundraising principals, to include assistance with scheduling, meeting prep, and other logistical needs.
Manage the EveryAction platform, covering all data entry and system maintenance.
Maintain all contribution related information including invoices and contribution instructions.
Manage a weekly "state highlights" report summarizing key developments from target states.
Support the logistics of State Summit sponsorships deliverable collection and provide additional assistance as needed.
Attend fundraising events, meetings, and gatherings as needed.
Provide additional support as needed for dedicated organizational projects that impact department work.
Qualifications
Has experience in a finance or data role in a fast-paced environment
Excellent organization and time-management skills
Extremely detail- and deadline-oriented
Familiarity with databases and fundraising management tools (EveryAction experience preferred)
Solid problem-solving and communication skills - both verbal and written.
Experience managing sensitive information with professionalism and confidentiality.

Compensation
The salary for this position will be between $53,000 and $58,000 and depend upon the applicant's experience. Position Summary:
The enrollment specialist (ES) is responsible for the recruitment and enrollment, and ensuring children and families integrate into the Hope House Colorado Early Learning Center (ELC). The ES is responsible for the tracking of the on-site Child and Adult Care Food Program (CACFP) and Colorado Child Care Assistance Program (CCCAP). What you will be doing:

Maintains records, files, maintenance agreements, contracts, and warranty information for equipment and mechanical systems.
Serves as liaison with architects, engineers, and contractors regarding new construction, major renovations, and remodeling.
Facilitates projects to ensure they are completed within time, design, and budget specifications.
Develops and implements short and long-range maintenance plans to ensure resources are effectively utilized.
Participates in College safety planning to ensure staff are educated on the regulations of state and local codes.
Oversees recycling and garbage disposal for entire campus as well as driving new green initiatives.
Evaluates and implements energy conservation methods.
Participates in reviews for ADA, EPA, DNR, OSHA requirements related to the college's campus and buildings.
Participates in campus committees as assigned.
Performs other duties as assigned.

Minimum Qualifications
Bachelor’s degree in Engineering, Business Management or Technology Management.
Three (3) years of experience in the operations, the maintenance, and the support of commercial buildings.
Must possess a current driver’s license valid in the State of Iowa and a driving record insurable by the College’s insurer. Must be able to obtain additional endorsements as needed.
Ability to obtain an OSHA 30-hour card for General Industry within twelve (12) months of hire.
Experience with commercial building construction, building systems and the required maintenance procedures for HVAC, electrical, plumbing, fire suppression systems, low voltage systems (security/camera).
Knowledge of financial rules, required compliance regulations, laws, and procedures.
Must possess supervisory skills.
Knowledge of budget management and fiscal monitoring.

Manages the College’s vehicle fleet, fuel system, and driving records of all employees that use fleet vehicles.
Partners with various College departments and divisions to prepare buildings and grounds for scheduled activities.
Receives, processes, and coordinates work requests for all facilities repair, maintenance, and custodial requests.
Monitors information sources regarding inclement weather and hazardous road conditions. Consults with the Vice President of Administration & Finance to make recommendations on College cancellations, late starts, and early dismissals.
Maintains records, files, maintenance agreements, contracts, and warranty information for equipment and mechanical systems.
Serves as liaison with architects, engineers, and contractors regarding new construction, major renovations, and remodeling.
Facilitates projects to ensure they are completed within time, design, and budget specifications.
Develops and implements short and long-range maintenance plans to ensure resources are effectively utilized.
Participates in College safety planning to ensure staff are educated on the regulations of state and local codes.
Oversees recycling and garbage disposal for entire campus as well as driving new green initiatives.
Evaluates and implements energy conservation methods.
Participates in reviews for ADA, EPA, DNR, OSHA requirements related to the college's campus and buildings.
Participates in campus committees as assigned.

Minimum Qualifications
Bachelor’s degree in Engineering, Business Management or Technology Management.
Three (3) years of experience in the operations, the maintenance, and the support of commercial buildings.
Must possess a current driver’s license valid in the State of Iowa and a driving record insurable by the College’s insurer. Must be able to obtain additional endorsements as needed.
Ability to obtain an OSHA 30-hour card for General Industry within twelve (12) months of hire.
Experience with commercial building construction, building systems and the required maintenance procedures for HVAC, electrical, plumbing, fire suppression systems, low voltage systems (security/camera).
Knowledge of financial rules, required compliance regulations, laws, and procedures.
Must possess supervisory skills.

Job Purpose
The Director of Sustainability provides guidance and vision for the Center for Sustainable Development ( CSD ) by fulfilling the College’s goal of fostering a culture of innovation to support sustainable solutions. This position is responsible for strategic development and operational management of the CSD . This position manages the Associate Director, Zero Waste Manager, as well as well as student graduate assistants and interns that work in the office. Minimum Requirements
Bachelor’s degree related to environmental science, environmental studies, sustainability or directly related fields and three (3) to five (5) years of work experience leading sustainability initiatives for a large organization. Master’s degree related to environmental science, environmental studies, sustainability or directly related field is preferred. Proven experience in higher education leading sustainability programming is desired. LEED Accredited Professional or closely related sustainability credentials is also preferred. Job Purpose
The Director of Sustainability provides guidance and vision for the Center for Sustainable Development ( CSD ) by fulfilling the College’s goal of fostering a culture of innovation to support sustainable solutions. This position is responsible for strategic development and operational management of the CSD . This position manages the Associate Director, Zero Waste Manager, as well as well as student graduate assistants and interns that work in the office. The Center for Sustainable Development Manager will work closely with stakeholders across the organization and community, as well as the other department heads within Facilities Management.
Minimum Requirements
Bachelor’s degree related to environmental science, environmental studies, sustainability or directly related fields and three (3) to five (5) years of work experience leading sustainability initiatives for a large organization. Master’s degree related to environmental science, environmental studies, sustainability or directly related field is preferred. Proven experience in higher education leading sustainability programming is desired. LEED Accredited Professional or closely related sustainability credentials is also preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Must have advanced knowledge and proficiency of the various aspects of sustainability on a large college campus. A demonstrated ability to identify and formulate long-term sustainability direction and goals with the ability to translate these long-term goals into short-term action items and operational activities is required. A cooperative and collaborative leadership style that emphasizes inclusion, integrity, honesty, openness and fairness is required. Must have leadership and management experience and skills focused around program development and execution, as well as, demonstrated ability to work across silos and between multiple entities to achieve stated goals or objectives is required. Strong customer service orientation and a demonstrated commitment to diversity, equity and inclusion and the ability to establish and maintain effective working relationships throughout the College with a diverse student body, faculty, staff and the Charleston community is also required. One role will be a generalist focused fully on project development
One to two hires will have a portion of their role that leans into the scientific modeling side of project development, benefit scoping and evaluation, science communication, and research.

Researching and engaging potential project beneficiaries
Quantifying and communicating project benefits with internal and external science partners
Developing proposals and securing funding commitments from beneficiaries
Engaging community stakeholders, Native nations, and potential project collaborators
Develop and execute project materials such as presentations, two-pagers, and memorandums to support project development and partner engagement
Foster relationships with project development partners across a portfolio of project assignments

Identify one to two areas to develop expertise within the organization. This could include a geographic or ecosystem focus, implementation or permitting, communications, scientific research, facilitation, etc.

The Department of Community Justice (DCJ) is recognized as a national leader in both adult and juvenile community justice. DCJ routinely consults and makes use of evidence-based practices in our program and policy development. The Department's commitment to data-informed decision-making has led DCJ to make smart investments of taxpayer dollars in supervision, sanctions, and services for the county's highest risk and highest need justice-involved individuals. DCJ makes long-term investments in its employees through the provision of education and training. The Department believes that in order to enhance public safety we must work collaboratively with the judiciary, law enforcement, schools, treatment agencies, and the community.
The Department shares information with community members, partners, and staff to keep communities safe by preventing and reducing crime and routinely evaluating which local policies support best practices. DCJ operates 24 hours a day, with nearly 650 regular, on-call, and temporary employees. The Department supervises over 4,000 justice-involved individuals annually and those defendants requiring pretrial services. DCJ's Juvenile Services Division operates the Donald E. Long Juvenile Detention Facility and is responsible for approximately 500 youth on formal and informal community supervision.

SERVING THE PUBLIC, EVEN DURING DISASTERS
Every day, Multnomah County staff work together to serve as a safety net for our communities. During a disaster, this safety net becomes even more critical. All County employees have a role in serving the public during inclement weather, natural disaster, or other types of community emergency response. During these emergency responses, while typically there begins with a call for volunteers, county employees may ultimately be reassigned from their current position to a role in the emergency response in order to support the critical needs presented by our communities. Assist with the compliance and reporting of all electoral activities working with the Legal and Finance departments.
Assist in processing invoices and keeping budgets up-to-date.
Communicate with vendors and partners on the ad approval process and organize consultant team meetings, take notes, and communicate out action items as needed.
Develop and maintain tracking systems to organize and archive creative content.
Work with departmental staff to achieve annual racial justice and equity goals, including, but not limited to, analyzing spending and elevating justice and equity in all of our work.
Track candidates and races as assigned.
Travel up to 5% of the time for staff retreats, conferences, and professional development opportunities, as needed.
Perform other duties as assigned.
Qualifications:
Work Experience: Required - Minimum of 1 year aggregate experience in administrative, compliance, or campaign setting (such as finance/fundraising; experience managing field operations; general campaigns operations experience.)
Preferred - Experience maintaining budgets. Experience tracking approval processes. Experience working within a nonprofit and/or political organization, or political campaign.
Skills: Excellent written and oral communication skills. Highly organized with strong attention to detail. Excellent listener. Civic Nation is seeking an Executive Vice President (EVP) of Development and Corporate Partnerships to lead the organization’s fundraising operation and oversee relationships with major corporate and philanthropic partners. Reporting to and working closely with the Chief Executive Officer, the EVP is responsible for leading a high-performing team, creating and successfully implementing a diversified fundraising plan that meets the organization’s annual budgetary needs and strengthens the foundation for long-term sustainability.
The EVP will serve as a member of Civic Nation’s senior leadership team, playing an important role in shaping priorities, identifying opportunities, and informing decisions about the future direction of the organization. They will collaborate closely with the development and corporate partnerships staff, senior leadership and program staff to elevate and promote Civic Nation’s programs, cultivate and steward important supporter relationships, and execute special events and other activities to grow and diversify the organization’s revenue streams.

The Development and Corporate Partnerships team is focused on building partnerships and raising the funds necessary for Civic Nation and its initiatives to carry out its ambitious plans. The Corporate Partnerships team is responsible for developing impact-generating partnerships and supporting fundraising efforts through corporate partnerships. This team is crucial not only to the success of the organization, but also to the larger culture shift of how business and philanthropy can use their influence for good.

Oversee and expand upon Civic Nation’s fundraising and corporate partnerships strategies focused on individual, corporate, and institutional major donors that fosters long-term sustainability and takes advantage of current trends and opportunities to enhance organizational impact.

The Institutional Giving team, which is within the Development department, is focused on engagement with foundations and other institutional funders. LCVEF is hiring an Institutional Giving Operations Associate Manager who will lead, manage and innovate the institutional giving operations. The Institutional Giving team, which is within the Development department, is focused on engagement with foundations and other institutional funders. Responsibilities include ensuring effective grant management working with the Finance and Legal teams, supporting preparation of grant proposals and reports, overseeing Institutional Giving data management, and facilitating the Institutional Giving team’s stewardship and engagement of institutional funders and prospects.
Responsibilities :
Maintain the Institutional Giving team’s records in the Salesforce donor database, including data entry and running reports on the team’s goals/performance and other information.
Maintain the team’s shared drive for document management and organization, including all grant agreements, submitted proposals and reports.
Oversee Institutional Giving operations processes, workflows, and systems to ensure efficiency and accuracy across the team, including updating or developing new systems, as needed.
Help contribute to and track the team’s racial justice and equity work and help ensure an inclusive organizational culture.
Update the team's language library to organize template proposals and reports, and relevant program language to ensure content is up-to-date, easily accessible and reflects our commitment to racial justice and equity.
Run the incoming grant review process, including serving as team liaison with the financial, legal, and executive teams to get approval and signature for grants, as necessary.
Manage the team’s shared worklog to ensure that all funder deliverables (LOIs, proposals, reports, etc.) and other tasks are completed and submitted in a timely and professional manner.
Support the team in grant submission and reporting including navigating grant submission portals, formatting and uploading materials in accordance to the guidelines of a variety of funders.
Maintain the Institutional Giving team’s standard proposal supplemental materials.
Provide administrative support for internal coordination meetings with program staff and other departments, including scheduling and preparation of materials.
Coordinate with the Financial & Budget Analyst and the Director of Grants Management to acquire necessary financial documents for proposals and reports.
Coordinate and track the stewardship and cultivation activities of the institutional giving team to ensure that existing funders and priority prospects receive frequent high-quality opportunities to engage with and learn more about LCVEF and LCV programs. This includes communications such as thank you letters, acknowledgment letters, impact reports, and invitations to in-person and virtual events.
Maintain an annual engagement calendar, manage the production of funder materials in coordination with the Development marketing team, and collaborate with the events team on funder engagement through events.
Collect data and statistics that will support the Institutional Giving team with grant proposals and reports.
Maintain accurate and up-to-date grant information and contact information in Salesforce, and develop database-driven reporting systems.
Prepare regular fundraising progress reports for the team and executive leadership.
Support the team with other day-to-day development activities as needed.
Travel up to 5% of the time for staff retreats, conferences, and professional development opportunities, as needed.
Qualifications :
Work Experience: Required - Minimum of 3 years of administrative or project management experience. Experience working with a CRM database. Preferred - Experience working with the Salesforce database. Experience reviewing grant agreements in order to determine restrictions on the use of funds.

Position:
The Finance Coordinator is a full-time position, working directly with the Director of Finance to support accurate financial documentation and processing for the organization. The Finance Coordinator is responsible for assisting in the implementation of fiscal operations and conducting bookkeeping functions, allowing Generation Hope to best serve families nationwide.

Position:
The Finance Coordinator is a full-time position, working directly with the Director of Finance to support accurate financial documentation and processing for the organization. The Finance Coordinator is responsible for assisting in the implementation of fiscal operations and conducting bookkeeping functions, allowing Generation Hope to best serve families nationwide.
Responsibilities:
Preliminary review of bank account’s revenue and balance sheet
Working with the Development Team to ensure thank you notes for donors and funders are accurate and are sent in a timely manner
Maintaining files and documentation thoroughly and accurately in accordance with Generation Hope’s policies and accepted accounting practices
Compiling compliance-related documents and receipts for grant reports
Leading the creation and execution of contracts with technical assistance clients and invoicing clients for timely payment
Assisting with bookkeeping tasks, data entry, tracking grant funds, and monthly departmental budget reports for the Leadership Team
Researching and resolving outstanding donation and pledge payments
Assisting with implementing new policies and procedure to streamline accounts receivable, including reviewing and analyzing expenses to ensure efficiencies
Assisting with the monthly close and reconciliation process , the annual audit, and annual budgeting processes
Other duties as assigned

To qualify for this position, you should have:
Personal qualities of honesty, credibility, and dedication to the mission and values of Generation Hope
An Associate’s degree in nonprofit management, finance management, finance, and or business administration or a similar degree program, or a combination of training and experience
At least two (2) years of bookkeeping experience with technical proficiency in standard accounts receivable procedures, account reconciliation, and analysis
At least two (2) years of hands-on experience utilizing QuickBooks software, Zoho Books, or similar financial-management software
Proficient computer skills and in-depth knowledge of relevant software such as Microsoft Suite, Google Workspace, CRMs, etc.
Strong math skills
Knowledge of standard office administrative practices and procedures, organization and problem-solving skills, which support and enable sound decision making
