The Oregon Health Authority (OHA), Public Health Division (PHD), HIV, STD and Tuberculosis Section in Portland, OR is recruiting for a CAREAssist Program Assistant to provide administrative and customer service support for the CAREAssist program (Oregon’s AIDS Drug Assistance Program). CAREAssist helps eligible Oregonians access and pay for life-saving medications, medical and dental care.  

What will you do?

As the CAREAssist Program Assistant, you will provide program eligibility services to clients, caseworkers and community-based partners. You will process and track new client applications, enter the applicant data into the system, and triage applications to program caseworkers for timely follow-up. You will be responsible for preparing monthly mailings of client eligibility review applications for enrolled clients, as well as record receipt, update database with client information, and send information to community partners and clients monthly. You will assist clients with eligibility questions, print and distribute client eligibility cards and provide daily customer service by helping to staff the main phone line.  

In this position, you will perform general office assistance activities and provide coverage for other administrative services in the office. These services include reception, mail processing, filing, archiving, and other duties as assigned. This position will also provide backup coverage to process payment for client services to include insurance premiums, medical claims and other program expenses such as supplies and equipment.

What are we looking for?

Requested Skills

  • Minimum requirements: Three years of clerical/secretarial experience that included two years at a full performance level performing typing, word processing, or other generation of documents AND lead work responsibility or coordination of office procedures. (Courses or training in Office Occupations or Office Technology may be substituted for up to one year of the clerical/secretarial experience.)
  • Experience providing professional, diplomatic customer service when communicating on the phone, in person, and in writing.
  • High-level of proficiency in using computers and data systems which includes Word, Excel, Outlook and database applications.
  • Experience performing accurate data entry.
  • Experience utilizing a multi-line switchboard/phone.
  • Experience working in a team environment which includes collaboration with other team members, contribution to a positive, respectful and productive work environment, and participation in continuous quality improvement program activities.
  • Experience taking initiative and using independent judgement on an ongoing basis.
  • Experience working in a busy office environment and managing competing priorities to meet program needs.
  • Ability to manage state credit card following all State of Oregon policies and procedures.
  • Experience promoting a culturally competent and diverse work environment.
