Position Description
America Votes is currently seeking a Development & Grants Assistant to join our diverse and high performing Development & Grants team. Reporting to the Director of Development, the Development & Grants Assistant serves as the backbone of department operations by ensuring all administrative processes are in place to execute the department's work. This includes, working closely with other departments to ensure compliance needs are met, assisting with contribution tracking and acknowledgement, supporting donor communication needs, and other related projects as assigned. This is a temporary position, ending on March 31, 2025.
Limited Travel is required for this position.

Responsibilities
Support Grants Manager in working with finance and legal teams to ensure grantees have submitted necessary documentation for tracking.
Provide additional support on tracking and summarizing grantee reporting for internal and external communications.
Coordinate with the political department and state staff to gather information for regular funder updates on overall program execution.
Support the productions of various donor communications including research, content collection, copy-editing, etc.
Support the executing of in-person and virtual donor briefings (including slide administration and management).
Provide dedicated administrative support for fundraising principals, to include assistance with scheduling, meeting prep, and other logistical needs.
Manage the EveryAction platform, covering all data entry and system maintenance.
Maintain all contribution related information including invoices and contribution instructions.
Manage a weekly "state highlights" report summarizing key developments from target states.
Support the logistics of State Summit sponsorships deliverable collection and provide additional assistance as needed.
Attend fundraising events, meetings, and gatherings as needed.
Provide additional support as needed for dedicated organizational projects that impact department work.
Qualifications
Has experience in a finance or data role in a fast-paced environment
Excellent organization and time-management skills
Extremely detail- and deadline-oriented
Familiarity with databases and fundraising management tools (EveryAction experience preferred)
Solid problem-solving and communication skills - both verbal and written.
Experience managing sensitive information with professionalism and confidentiality.
Ability to manage up and across teams
Basic knowledge of c3/c4/PAC designations
Proficiency in Google suite.
Compensation
The salary for this position will be between $53,000 and $58,000 and depend upon the applicant's experience. America Votes offers a competitive benefits package covering 100% of employee medical, dental, & vision insurance premiums, life insurance, long term disability coverage, monthly cell phone reimbursement, personal professional development funds, parental leave, and 401 (K) after four months of continuous service with the organization. This position is based out of the Washington, DC office, and will have to report to the office 5 days a week (Monday-Friday). Existing work authorization is required at the time of application submission. WRI is unable to sponsor any visa work sponsorship for this position.
About the Program:
The Facilities Department oversees the WRI Global office in Washington, DC, ensuring that the building is operating in an efficient manner. Facilities has a wide range of responsibilities, such as assigning Datawatch cards, responding to repair requests, ordering furniture and office supplies, responding to requests for temporary office space needs for new employees and interns, and assisting with mailing and packaging needs.
Job Highlight: In this role, under the supervision of the Facilities Supervisor, you will support the entire institute by providing support in all areas of Facilities.
You will report to the Facilities Supervisor.
What you will do:
Facilities Support (95%)
Answer and distribute incoming telephone calls to appropriate staff. Greet visitors and inform appropriate staff member of their guest arrivals
Inform staff of visitor and office protocols listed on Banyan page, WRI Intranet site
Oversee the repair and maintenance of printers and copiers. Responsible for first level of problem determination, responsible for placing service calls. Facilities Maintenance Technician will back up the Facilities Coordinator, as needed to ensure copiers are running smoothly.
Maintain supply room including ordering general supplies (notebooks, pens, etc.)
Train staff on use of copiers and printers and maintain well-organized space in the mail/supply room/ and all print stations
Ensure that WRI DC office is maintained well and is appealing to staff and visitors. Notify Facilities Supervisor and Global Facilities Manager of any needed repairs.
Process facility requests through the Cushman Wakefield APA Portal Requests for HVAC, misc. cleaning/vacuuming, etc. Follow up that problem was solved
Train staff on how to process outgoing domestic and international mail (USPS, FedEx, DHL, and UPS shipments) via XPS and NeoPost postage machine. Will process incoming mail and troubleshoot the postage machine. Order mailing supplies for various mail and delivery vendors and the postage machine (e.g., USPS, Federal Express and UPS)
Notify staff of incoming mail/packages. Forward any relevant mail electronically, as needed, for remote employees
Backup Administrator of the iOffice facilities software, working closely along with the Facilities Supervisor
Train staff on how to use iOffice. Keep the training documents up to date, along with any other communications
Back up Facilities Supervisor in processing invoices in Office 365 (WRI Payment Processing). Learning and understanding them as they are processed
Notify Facilities Supervisor of any updates needed to Banyan (WRI’s internal website) documents. Will also assist Facilities Supervisor in editing IT documents on Banyan
Process PAF for new and terminated employees
Work with Events Manager to ensure to ensure guests are given directions to the appropriate large meeting spaces
Assign security access cards (Datawatch) for all staff. Collect security cards when employees are offboarded

Job Description
The Site Assistant is responsible for assisting in the maintenance and development of the facility, equipment, vehicles and grounds of the MREA main office and property in Custer, Wisconsin. The property consists of an office building, training building, storage shed, multiple training and demonstration systems as well as 65 acres of property, which includes 40 acres of seasonal campsites. The site has active solar electric, wind, and solar thermal installations that provide heat and power to the facility and that also serve for training and demonstration.
In addition, the Site Assistant works closely with the Site Manager as well as the Events Coordinator to prepare and manage the site for The Energy Fair, including permitting coordination, rentals, and campground preparation as well as Move Some Earth Day and Brisk Fall Clean Up Day. The Site Assistant also works with the MREA training team to ensure that tools, equipment and transportation are maintained and organized as appropriate and works proactively to ensure the campus is safe for all training and events.
Key Responsibilities
Facility
Assist in maintenance of Custer grounds seasonally including grass mowing, tree pruning/removal, snow removal, landscaping, and other activities as appropriate.
Assist in building maintenance as needed including office remodeling, painting, appliance maintenance.
Assist in leading volunteers during MREA spring work day, Move Some Earth Day (May 14, 2022).
Adhere to safety guidelines of MREA programs and practices.

Job Description
The Site Assistant is responsible for assisting in the maintenance and development of the facility, equipment, vehicles and grounds of the MREA main office and property in Custer, Wisconsin. The property consists of an office building, training building, storage shed, multiple training and demonstration systems as well as 65 acres of property, which includes 40 acres of seasonal campsites. The site has active solar electric, wind, and solar thermal installations that provide heat and power to the facility and that also serve for training and demonstration.
In addition, the Site Assistant works closely with the Site Manager as well as the Events Coordinator to prepare and manage the site for The Energy Fair, including permitting coordination, rentals, and campground preparation as well as Move Some Earth Day and Brisk Fall Clean Up Day. The Site Assistant also works with the MREA training team to ensure that tools, equipment and transportation are maintained and organized as appropriate and works proactively to ensure the campus is safe for all training and events.
Key Responsibilities
Facility
Assist in maintenance of Custer grounds seasonally including grass mowing, tree pruning/removal, snow removal, landscaping, and other activities as appropriate.
Assist in building maintenance as needed including office remodeling, painting, appliance maintenance.
Assist in leading volunteers during MREA spring work day, Move Some Earth Day (May 14, 2022).
Adhere to safety guidelines of MREA programs and practices.
Program Coordination
Energy Fair
Assist in preparation of MREA grounds in months leading up to June Energy Fair event.
Assist in event setup, maintenance, and tear down.
Develop and oversee garbage and recycling strategy.
Assist in coordination of storage and maintenance of Energy Fair equipment.
Administration
Participate in MREA staff meetings and planning sessions as necessary.
Human Resources
Participate in staff evaluations, meetings, staff work days, and professional development days as appropriate.
Manage volunteers, assistants, and interns as needed.
Follow MREA remote work procedures, including office hour scheduling, work-from-home scheduling, and activity reporting.
Board Relations
Attend Board of Directors meetings, assist the Site Manager in preparing reports as needed.
Participate on other board-level committees as needed.
Qualifications
