OVERVIEW

The Reception Administrative Assistant is responsible for incoming calls, mail maintenance and tracking of Customer Success Department reports and files. They are also responsible for supporting Customer Success Department with meeting notes and other administrative duties, as necessary. This role has a low volume of walk-in visitors. Most customer interactions are conducted via phone.

CORE FUNCTIONS

  • Handle all inbound Reception and Agency calls
  • Manage faxes and general emails for Customer Success Department
  • Maintain and distribute EZ Offer forms
  • Customer Success Department mail pick-up and tracking
  • Track NSF's for Customer Success Department
  • Create SIF and PIF letters
  • Take meeting notes, distribute to team, and maintain for CS Department

  • Smartly maintains security awareness by monitoring visitor access through proper communication, validation, and documentation.

  • $16/hour

SCHEDULE & ENVIRONMENT

  • LOCATION: Downtown Denver
  • Monday - Friday, general business hours
  • In-office position, not eligible for remote work
  • Sitting 80%, Standing/Walking 20%
  • Will type, write, use finger dexterity, talk, hear, and see (up close and moderate distances) as a normal part of job duties
  • Will occasionally need to lift up to 25 lbs

KEY QUALIFICATIONS

Education, Formal Training or Certificates:

  • High school diploma or equivalent required

Experience:

  • Previous experience in a customer service, administrative, or reception position preferred
  • Previous experience in a fast paced work environment

Knowledge, Skills and Abilities:

  • Beginner to Intermediate use of Microsoft Office Suite, specifically Microsoft Word and Excel
  • Ability to multi-task and manage multiple functions simultaneously
  • Ability to interact professionally with co-workers, clients, and consumers
