This position falls under the classification Administrative Specialist 2.

What you will do:

As an Administrative Support Specialist, you will be part of the Agency Support Team. You will support staff, projects, programs, and must possess a diverse knowledge base of administrative duties. You will assist in meeting the overall operational needs of the agency as required.

 

In this role, you will regularly travel between the Salem Headquarters and Willamette Mission State Park.

 

 

Minimum Qualifications:

(a) Two (2) years of experience as an administrative specialist or executive support specialist which included administrative support for a project, program, or operation. Administrative support includes those duties beyond clerical/secretarial such as: interpretation of laws, rules, and regulations; administrative data collection and analysis; and evaluation of projects, processes, and operations.

OR
(b) An equivalent combination of training and experience.

NOTE: One (1) year of post-secondary education may be substituted for up to one year of the experience.

  • Experience prioritizing and adjusting tasks to meet changing requirements and workload demands.
  • Skill in applying and interpreting laws, rules, regulations, policies, and procedures.
  • Skill in creating unit processes and procedures.
  • Skill in operating typical office equipment such as calculator, photocopier, scanner, fax (specific equipment skills will be based on individual position requirements).
  • Ability to maintain confidentiality of agency records.
  • Experience with Microsoft Office programs (Word, Excel, and Outlook), entering data, and maintaining databases.
  • Experience in composing correspondence such as letters, memos, manuals, reports, and presentations.
  • Skill in creating, and facilitating virtual meetings.
  • Experience in data collection and analysis.
  • Experience coding and processing financial documents.
  • Experience processing all aspects of travel and subsequent forms.
  • Experience supporting executive level management.
  • Experience in promoting a culturally competent and diverse work environment.
