Job Purpose

Minimum Requirements
Bachelor’s degree and five years of professional experience in office, business &/or fiscal management. Preferred experience in an academic setting. Accounting experience required. Candidates with an equivalent combination of experience and/or education are encouraged to apply.

Must possess business management skills involving complex budget planning/maintenance, procurement processes, and inventory control. Ability to communicate effectively both orally and in writing is critical. Requires excellent organizational, analytical and planning skills to perform well with a highly diverse workload. Must be able to handle stressful situations smoothly. Significant knowledge of office technology (Microsoft Office Suite) and procedures is necessary. Must be able to supervise and train employees and students. Knowledge in federal & state regulations, including FERPA is preferred.

Requires walking, standing, &/or sitting for extended periods of time. Must be able to travel about campus by foot for events, material distribution, etc.

Main responsibilities of the position include order pulling, receiving goods, and delivery as well as basic computer operations to include data entry, processing, and email communications.

High school diploma and valid SC driver’s license required. Basic knowledge of receipt control, storeroom, warehousing, and delivery related areas preferred. Candidates with an equivalent combination of experience and/or education are encouraged to apply.
Required Knowledge, Skills and Abilities
Experience with material handling equipment, including a forklift and other standard equipment preferred but not required (current staff will train as needed). Must be able to communicate effectively. Basic knowledge of accounting, bookkeeping, and inventory procedures preferred. Must have legible handwriting, and the ability to accurately record and file information. Must have basic data entry skills and experience in the use of standard PC software.
Additional Comments Regarding Position
Must be able to climb stairs, ladders, operate material handling equipment. Must be able to lift and carry equipment and supplies. Warehouse environment tends to be hot and dusty. Must be capable of lifting 75+ lbs. assisted and 50lbs unassisted. Must have a valid driver’s license and satisfactory background report. May be required to travel for training opportunities.

WHAT YOU NEED TO KNOW Reporting to the Chief Operating Officer or the Chief Administrative Officer, the Business Operations Specialist supervises the daily operation of support services and business office operations for regional administrative functions. This includes supervision of volunteers who will handle daily transactional responsibilities. Oversees budget monitoring, daily finance transactions, local vendor relationships, facilities management, fleet management, HR, IT, and records/reports. Establishes work procedures and standards to improve efficiency and effectiveness of assigned operations. Is the lead system trainer for software business applications. Provides COO/CAO operations management for the Region in the absence of the COO/CAO. This position is in office Monday - Friday 8am - 4:30 pm Positions will be assigned to 2221 Chestnut Street, Philadelphia, PA; however, in July 2024 it will be assigned to 700 Spring Garden, Philadelphia, PA. Position will support multiple locations throughout the region with occasional local travel required. WHERE YOUR CAREER IS A FORCE FOR GOOD (Key Responsibilities): Provide administrative budget support such as: expense coding, financial report dissemination, analyzing monthly forecasting of expenses, initiation, monitoring, and approval of regional procurement transactions, establishing location processes for cash and card transactions, and ensuring that programs are executed within budget in collaboration with department leaders. May coordinate and train volunteers to assist with less complex daily transactional work. Lead system user/training for Business Applications and IT Services using the appropriate system to troubleshoot phone and computer issues for Region and assist with tech services requests. Support facilities/asset management by ensuring repairs are completed within budget and managing vendor-related activities such as ensuring the appropriate system is used to pay vendors, maintaining relationships with vendors at each physical location, obtaining proposals for new vendors, providing business plan information for real estate transactions, and updating risk management system with current values/status. Maintain fleet inventory records, file, and maintain insurance claims and follow up with estimates/repairs. Maintain insurance certificate applications, financial collection processes, and appropriate forms and codes used for regulated items including alcohol to support meeting planning. Provide guidance and data for grant reports and respond to internal/external requests for information and/or documentation. Develop, maintain, and distribute a regional Standard Operating Procedures Manual to ensure consistent processes/procedures related to operations functions throughout the Region. Provide support to volunteers working in Business Operations. Provide support and management of facility related common spaces such as huddle rooms, focus rooms and conference rooms. Essential Functions/Duties:
Responsible for the day to day administrative work associated with operating the 2nd Life Exchange including creating and disseminating both online and print promotions and communications, staffing students and volunteers, and providing input to the development of existing organization policies and procedures, inventory management, financial tracking, and communication. Regularly coordinates with the stores on inventory management and public sales.
Leads the Campus furniture and equipment reuse program. Maintains website content used to inform and engage the campus community on reuse programs. Monitors and responds to inquiries regarding reuse of campus items. Approves reuse requests. Collaborates with Facilities and Warehouse teams on the storing and distribution of available items in inventory. Is the primary contact for third party vendors associated with surplus, in support of creative reuse.
Proactively engage with and serve as a resource to faculty and staff to integrate reuse and reduce education and practices into studio environment, as appropriate. Promote RISD’s reuse programs, goals, challenges, and accomplishments to a wide range of constituencies through personal contact, the website, discussions with students, faculty, and staff, and others. Liaise with campus partners; Facilities, Environmental Health & Safety, Dining Services, Student Affairs (clubs), Procurement and Center for Community Partnerships. Maintains and establishes new relationships with like-minded organizations within the Providence community to support programs that support art and design.
Oversee FLIPS collection promotion, communications and associated sales. Coordinates distribution of nonsale related items and donation programs associated with collection. Leads the FLIPS committee, coordinates volunteers, oversees schedule, marketing and arranging campus partner support needed. Tracks results of collection, sale and donations.
Hires, trains, schedules and manages a team of student staff that support re-use core enterprises. Assigns and follows up on daily work assignments. Facilitates professional development to ensure the team is up to date on all reuse and sustainable best practices.
Ensures that Re-use enterprises are responsive to customers’ wants and needs. Communicates with the team and community on a regular basis to ensure readiness to meet the needs of the RISD community. Actively gathers feedback and data and takes action to improve programs. Aid guests and students with special requests. Provides prompt, efficient, and personalized assistance to address the issues and concerns of customers. Effectively communicates with constituency, both interpersonally or in written, verbal, nonverbal and audible. Uses all available industry resources to stay abreast of the best practices in reuse and recycling.
Maintains digital database of reuse movement. Generates and analyzes system reports and data to track outcomes and make operational decisions based on resultant data. Uses data to implement operational efficiency. Prepares yearly operational & budget reports for the Executive Director of Auxiliaries.

Required Knowledge/Skills/Experience:

What makes this role unique? In this role, you will use a blend of business analysis and technology-vendor management skills. You will influence program managers, budget managers, and customers to make data driven decisions to ensure technology purchases align with statewide technology standards and purchasing policies. You will develop and continuously improve processes to collect, analyze and evaluate IT equipment usage data and recommend procurement strategies that are economical and benefit the agency.
