Position Description
America Votes is currently seeking a Development & Grants Assistant to join our diverse and high performing Development & Grants team. Reporting to the Director of Development, the Development & Grants Assistant serves as the backbone of department operations by ensuring all administrative processes are in place to execute the department's work. This includes, working closely with other departments to ensure compliance needs are met, assisting with contribution tracking and acknowledgement, supporting donor communication needs, and other related projects as assigned. This is a temporary position, ending on March 31, 2025.

Responsibilities
Support Grants Manager in working with finance and legal teams to ensure grantees have submitted necessary documentation for tracking.
Provide additional support on tracking and summarizing grantee reporting for internal and external communications.
Coordinate with the political department and state staff to gather information for regular funder updates on overall program execution.
Support the productions of various donor communications including research, content collection, copy-editing, etc.
Support the executing of in-person and virtual donor briefings (including slide administration and management).
Provide dedicated administrative support for fundraising principals, to include assistance with scheduling, meeting prep, and other logistical needs.
Manage the EveryAction platform, covering all data entry and system maintenance.
Maintain all contribution related information including invoices and contribution instructions.

Attend fundraising events, meetings, and gatherings as needed.

Qualifications

Compensation
The salary for this position will be between $53,000 and $58,000 and depend upon the applicant's experience. YOUR IMPACT
Support the Deputy Director of Development in the day-to-day operations of Civic Nation’s prospecting and donor outreach efforts for the development department.
Conduct background research on potential fundraising prospects on a weekly basis and work with the Deputy Director of Development to identify new funding opportunities.

YOUR IMPACT
Support the Deputy Director of Development in the day-to-day operations of Civic Nation’s prospecting and donor outreach efforts for the development department.
Conduct background research on potential fundraising prospects on a weekly basis and work with the Deputy Director of Development to identify new funding opportunities.
Create memos for prospective donor meetings and events.
Track outreach, action items, and research across internal development team trackers and tools.
Help create marketing materials and write proposals for prospective funders.

One of the largest and fastest growing areas of work for LCV and its sister organization LCV Education Fund is using civic engagement and grassroots community organizing to fight for climate justice, pollution-free communities and an inclusive, accessible and participatory democracy. Through programs like Chispa , a grassroots organizing program operating in six states (Arizona, Colorado, Florida, Maryland, Nevada, and Texas), we are building a powerful new environmental leadership base within communities of color through the Clean Buses for Healthy Niños campaign, as well as our civic engagement program that has helped over 1.5 million individuals register to vote since our first program in 2012 and won ballot measures that made voting easier and more accessible for our growing electorate in communities across the country.
The Community and Civic Engagement (CCE) Associate will assist with the tracking of the department budgets and provide administrative support, including preparation of materials, presentations and reports. This role will directly support the Senior Vice President for Community and Civic Engagement and provide general support to the CCE department. The ideal candidate is highly organized, with a strong attention to detail, and shares our commitment to the power of everyday people to affect profound change in their communities and our nation.
Responsibilities :
Assist SVP for CCE with scheduling and other administrative matters.
Track and maintain records of the SVP for CCE’s fundraising activities. Work with the Development department to update and monitor fundraising.

The Community and Civic Engagement (CCE) Associate will assist with the tracking of the department budgets and provide administrative support, including preparation of materials, presentations and reports. This role will directly support the Senior Vice President for Community and Civic Engagement and provide general support to the CCE department. The ideal candidate is highly organized, with a strong attention to detail, and shares our commitment to the power of everyday people to affect profound change in their communities and our nation.
Responsibilities :
Assist SVP for CCE with scheduling and other administrative matters.
Track and maintain records of the SVP for CCE’s fundraising activities. Work with the Development department to update and monitor fundraising.
Support the CCE department’s Senior Leadership Team with cross-program and -departmental administrative matters.
Track department spending. Work with program and state directors to ensure timely and accurate budget monitoring.
Provide general administrative support to the CCE department, including processing department check requests, maintaining list serves and scheduling department meetings.
Record and distribute meeting notes, materials and minutes for key Board Committees and other meetings with outside organizations.
Coordinate logistics for meetings and events including booking meeting rooms, transportation, meals, audio-visual needs, etc., as needed.

In coordination with NRDC Action Votes & NRDC Action Fund PAC, ensure that GiveGreen, a multi-million dollar candidate fundraising program, is staffed, resourced, and set up to succeed.
In collaboration with the Executive Team, Communications Department, and other senior development staff, create unified and inclusive messages and marketing frames to motivate and inspire individual and institutional donors and prospects at all levels to support LCV and LCVEF’s missions.
Coordinate with operations and campaigns teams to boost the use of data to inform goals and priorities. Work with the development team on short-and long-term revenue forecasting for membership, mid-level and major donor (individual and institutional) programs.

Qualifications :

Responsibilities :
Act as a key advisor on all employee relations and labor management matters by providing day-to-day legal advice and counseling on a wide range of activities and programs related to employment, labor and human resources matters.
Provide legal counsel on all aspects of employment-related advice, including issues related to Title VII, the Americans with Disabilities Act (ADA), the Fair Labor Standards Act (FLSA), Family and Medical Leave Act (FMLA), and other federal and state employment laws.

Qualifications :

The role will also manage a portfolio of additional issue areas including immigration, intellectual property, cybersecurity and data privacy, insurance and other risk management matters. The ideal candidate brings expertise in key legal issue areas, and is an effective communicator who will embed equity throughout their work.
Responsibilities :
Act as a key advisor on all employee relations and labor management matters by providing day-to-day legal advice and counseling on a wide range of activities and programs related to employment, labor and human resources matters.
Provide legal counsel on all aspects of employment-related advice, including issues related to Title VII, the Americans with Disabilities Act (ADA), the Fair Labor Standards Act (FLSA), Family and Medical Leave Act (FMLA), and other federal and state employment laws.
Conduct and assist in internal investigations, in collaboration with the Human Resources team and other departments, including but not limited to anti-harassment, EEO, and grievances, and help resolve employee relations issues and complaints.
Serve as primary lead within the department for immigration, intellectual property, and cybersecurity matters, working with outside counsel as appropriate.
Center racial justice and equity in the design and execution of work, staff engagement, and leadership, and contribute to the goal of becoming an anti-racist organization.
Draft and advise on the content of contractual documents, including consulting agreements, operations-side contracts, nondisclosure agreements, liability and other release forms, and severance agreements.
Handle issues relating to interactions with federal and state government agencies relating to employment and employment matters, including subpoenas and information requests.
Oversee and coordinate all legal matters handled by outside counsel related to employment, labor, immigration, intellectual property, and cybersecurity matters.
Track laws, regulations, and litigation that affect the organization's Human Resources and operational policies, and collaborate with the Human Resources team in drafting organizational and personnel policies and procedures in accordance with applicable federal and state laws and regulations, and that apply a racial justice & equity lens.
Develop subject-matter expertise on organizational policies and procedures and deliver training for staff on a variety of topics, with a focus on employment law, that are designed to instill organizational values and accountability.
Monitor activities that relate to state affiliates and provide guidance on joint activities, including joint employment.
Lead or participate in other special projects and initiatives as assigned.
Provide and implement suggestions to increase efficiency and effectiveness of office procedures.
Recruit and supervise law clerk(s).
Other duties as assigned.
Qualifications :
Education: JD degree from an accredited law school; bar membership in good standing in at least one state required.
Work Experience:
Required : 2-5 years of legal experience with the range of federal, state, and local laws that govern employment relationships in the workplace, such as anti-discrimination and anti-harassment law, wage and hour law, family and medical leave and sick and safe leave laws, and labor law, as well as with workplace compliance issues such as obligations under express and implied employment contracts and best practices for handling discipline and separations.
Strongly Preferred : Experience conducting employment and/or labor investigations in adherence to laws and regulations, corporate policies, and collective bargaining grievance procedures.
Preferred : Familiarity with tax exempt organization law and issues around employee/cost sharing and joint employment. Familiarity with immigration law.
Skills:
Required - Excellent verbal and written communication skills and ability to translate legal concepts effectively with non-lawyers. Demonstrates expertise in a variety of legal field's concepts, practices, and procedures. Demonstrated relationship building skills; solid judgment; critical thinking skills; a sense of teamwork and community; ability to handle multiple tasks; highly organized. Ability to participate effectively in fact-finding investigations, present findings and develop related recommendations. Deep understanding of structural and institutional inequity and interpersonal power dynamics and the interplay with our legal system. Demonstrated ability to build relationships with staff at all levels, and to maintain confidentiality and discretion. Strong legal research and writing competencies, including Westlaw competency, with ability to draft, review, revise and edit documents in Word, Excel, Google Drive and PowerPoint. Ability to work under pressure under multiple deadlines.
Preferred - Spanish language competency a plus.
