Organize all Board and other committee meetings including logistics, catering, video and conference call capabilities. Manage the planning for all Board-related events, including offsite meetings, orientations, dinners and retreats. Attend any and all Board events as needed. Attend other APLA Health events where Board members are present as needed and when appropriate.
Executive Management Team / Senior Management Team –
Working with the CEO prepare and distribute notices of upcoming EMT and SMT meetings, agendas (including Action Items) and relevant information packets. Send reminder notices to team members of upcoming meetings.
Attend all EMT and SMT meetings, in person or remotely. Prepare draft minutes of all meetings for review and approval by the CEO and Committee.
JAEDI –
Working with the JAEDI Co Chairs prepare and distribute notices of upcoming meetings, agendas (including Action Items) and relevant information packets. Send reminder notices to Committee members of upcoming meetings.
Attend all JAEDI meetings, in person or remotely. Prepare draft minutes of all meetings for review and approval by the Co Chairs and Committee.
Facilitate the distribution of information to the Board from the CEO, Board chair, and other Board members.
Ensure the efficient and accurate record-keeping of all Board, committee, EMT, SMT and JAEDI activities.
Under the guidance of the CEO or other members of EMT, facilitate the completion of various licensing and other applications (including grant applications) to local, state and federal authorities (including HRSA, the State of California, local governmental authorities etc.) with a particular focus on those applications that require information and submittals from APLA Health Board members.
With the assistance of the CEO and outside counsel monitor the legal operating requirements of APLA Health; particularly those directly applicable to the Board under Federal, State and local laws and regulations, the APLA Health bylaws, Federally Qualified Health Center (FQHC) rules and regulations.
Under the guidance of the CEO facilitate the review and approval of letters of support from other FQHC’s. Under the guidance of the CEO prepare and distribute official correspondence from APLA Health with outside entities including governmental authorities, other non-profit partners, vendors, donors, etc.)
Provide administrative support when needed for “special projects” including HRSA service area competition applications, HRSA official site visits, HRSA scope change applications, state of California licensing applications, large grant applications, etc.
Provide advice to Board officers, committee Chairs and the CEO regarding legal requirements and Rules of Order for conducting the business of the Board and all Committees.
Maintain an annual calendar of all Board approval requirements pursuant to California law, the APLA Health bylaws, as well as FQHC rules and regulations. Coordinate/ facilitate the timely review by and approval by staff and the Board of all required approvals.
Serve as a resource for Board Members; answer questions, take messages, return phone calls or in any other way assist members with their board responsibilities including in some cases fundraising on behalf of APLA. Handle incoming and outgoing mail, faxes, and documents as they pertain to the Board.
Provide high-level administrative support in helping managing the schedule, travel and expenses for the CEO. Assist with communication between CEO and the Board, EMT, SMT and JAEDI and between CEO and all outside parties.
Help support the CEO in their participation in external groups including boards of directors, advisory, planning and other committees, etc.
Maintain Board, EMT, and SMT contact information

Strong Knowledge of:
Office systems and procedures, office machines, computer skills, and advanced MS Office skills (Outlook, Word, Excel, and Power Point) required. What makes this role unique?
In this role, you will support our dynamic AmeriCorps program through complex timekeeping audits and file administration for 300 AmeriCorps members annually. As the Secretary Lead, you will work independently and under the guidance of the Washington Conservation Corps’ Administrative Operations Manager to develop and enforce Section administrative procedures. You will facilitate weekly administrative support team meetings to ensure seamless support for the section, and will administer the member health insurance program.
What you will do:
Assign, instruct, and check the work of two Secretary Seniors. Review and correct bi-weekly audits of online employee timekeeping software (eTime), this will include quarterly hour reviews and roster verifications for section disaster response activities.
Provide customer service to WCC’s 350 members and staff as key member of WCC administrative support team.
Lead member criminal history and driving record checks, including payment to vendors and routing assistant supervisor onboarding material.
Process timely AmeriCorps member enrollment and exit paperwork, and serve as lead on member early exits and pro-rated awards.
Administer WCC member health insurance program and process WCC credit card logs and personal reimbursement vouchers.
Create and update spreadsheets to track and report on staff paperwork submission, error tracking, and member progress.
Develop forms, templates, and guidance for use by WCC field staff in partnership with Ecology’s fiscal office.
Qualifications
Required Qualifications:
A High school diploma or equivalent AND Two years of increasingly responsible office experience requiring keyboarding or typing and experience directing the work of others.

In this role, you will support our dynamic AmeriCorps program through complex timekeeping audits and file administration for 300 AmeriCorps members annually. As the Secretary Lead, you will work independently and under the guidance of the Washington Conservation Corps’ Administrative Operations Manager to develop and enforce Section administrative procedures. You will facilitate weekly administrative support team meetings to ensure seamless support for the section, and will administer the member health insurance program.
What you will do:
Assign, instruct, and check the work of two Secretary Seniors. Review and correct bi-weekly audits of online employee timekeeping software (eTime), this will include quarterly hour reviews and roster verifications for section disaster response activities.
Provide customer service to WCC’s 350 members and staff as key member of WCC administrative support team.
Lead member criminal history and driving record checks, including payment to vendors and routing assistant supervisor onboarding material.
Process timely AmeriCorps member enrollment and exit paperwork, and serve as lead on member early exits and pro-rated awards.
Administer WCC member health insurance program and process WCC credit card logs and personal reimbursement vouchers.
Create and update spreadsheets to track and report on staff paperwork submission, error tracking, and member progress.
Develop forms, templates, and guidance for use by WCC field staff in partnership with Ecology’s fiscal office.
Qualifications
Required Qualifications:
A High school diploma or equivalent AND Two years of increasingly responsible office experience requiring keyboarding or typing and experience directing the work of others.

Must successfully pass a criminal history background check.

What makes this role unique?
In this role, you learn more about the science of the Environmental Assessment Program and will work with staff both remotely and in-person. About our team:
Our team helps enforce Washington's toxics laws, including the Dangerous Waste regulations that many businesses need to comply with. We also offer technical assistance to businesses to reduce or eliminate their use of hazardous chemicals, work to identify safer chemical alternatives, support the development of green chemistry, and test consumer products for toxic chemicals. There is growing public health concern regarding the use of everyday consumer products that contain harmful chemicals. In fact, the largest source of chemical pollution is not coming from point sources like smokestacks or sewer pipes, but from the combined slow and steady release of chemicals from consumer products. Within the Pollution Prevention and Regulatory Assistance Section, we identify these chemicals in consumer products, and promote safer alternatives. What you'll do:
Provide administrative support to the Section Manager, three Unit Supervisors, and the section's staff. This includes coordinating staff activities, managing the Section Manager’s calendar, and resolving scheduling issues.
Schedule and coordinate meetings, including Webinars and virtual events.
Collaborate and consult with other administrative and secretarial staff to ensure processes are consistent across the program.
Develop budget estimates and monitor budget status for contracts and purchasing services, printing and invoices, memberships, and other goods and services.
Manage the section's administrative business practices, such as interpreting and applying agency policies to the work of the section, and communicating changes to staff.
Work with the HWTR Contracting Specialist to track and organize Decisions to Contract for the section.
Proofread, edit and draft emails, letters, forms and other materials.
Serve as the liaison between the Section Manager and the HWTR Public Disclosure Coordinator, and provide electronic and paper documents in response to public disclosure requests on the Section Manager's behalf.
Serve as a liaison between the Section Manager and staff, relaying assignments and requesting status updates.
Provide back-up to the HWTR-HQ Administrative Team, which includes the Secretary Supervisor, Secretary Senior, and Records and Information Management Coordinator.
Qualifications

About our team:
Our team helps enforce Washington's toxics laws, including the Dangerous Waste regulations that many businesses need to comply with. We also offer technical assistance to businesses to reduce or eliminate their use of hazardous chemicals, work to identify safer chemical alternatives, support the development of green chemistry, and test consumer products for toxic chemicals. There is growing public health concern regarding the use of everyday consumer products that contain harmful chemicals. In fact, the largest source of chemical pollution is not coming from point sources like smokestacks or sewer pipes, but from the combined slow and steady release of chemicals from consumer products. Within the Pollution Prevention and Regulatory Assistance Section, we identify these chemicals in consumer products, and promote safer alternatives. What you'll do:
Provide administrative support to the Section Manager, three Unit Supervisors, and the section's staff. This includes coordinating staff activities, managing the Section Manager’s calendar, and resolving scheduling issues.
Schedule and coordinate meetings, including Webinars and virtual events.
Collaborate and consult with other administrative and secretarial staff to ensure processes are consistent across the program.
Develop budget estimates and monitor budget status for contracts and purchasing services, printing and invoices, memberships, and other goods and services.
Manage the section's administrative business practices, such as interpreting and applying agency policies to the work of the section, and communicating changes to staff.
Work with the HWTR Contracting Specialist to track and organize Decisions to Contract for the section.
Proofread, edit and draft emails, letters, forms and other materials.
Serve as the liaison between the Section Manager and the HWTR Public Disclosure Coordinator, and provide electronic and paper documents in response to public disclosure requests on the Section Manager's behalf.
Serve as a liaison between the Section Manager and staff, relaying assignments and requesting status updates.

Qualifications

This position is located in Manchester Environmental Laboratory in Port Orchard, WA. Please note, this is a part-time position , 24 hours per week. What makes this role unique?
In this role, you will coordinate office operations with Environmental Protection Agency Staff, transcribe meeting minutes, and screen calls and visitors. You will perform complex secretarial assignments as a member of the Environmental Assessment Program Administrative Support Team, and will handle confidential and sensitive materials.
What you will do:
Perform administrative duties as designated by the Manchester Environmental Laboratory Director. Support the laboratory director and laboratory staff in formulating signature ready letters and memoranda styled in accordance with Agency, Program, and Section policy.
Support the Quality Assurance Coordinator with updates to Standard Operating Procedures; format documents and create workflows.

Greet clients and visitors.
Coordinate sending time sensitive paperwork for laboratory director and unit supervisors to Ecology’s headquarters office.
Maintain the laboratory’s SharePoint site. Review documents and correct for completeness, form, clarification and conformance to policy and rules.
Manage the laboratory’s records and public information.
Order laboratory materials, supplies, parts and equipment. Research new sources of supply, locate and contact vendors and suppliers.

Support the Quality Assurance Coordinator with updates to Standard Operating Procedures; format documents and create workflows.
Attend meetings, transcribe and distribute meeting minutes.
Greet clients and visitors.
Coordinate sending time sensitive paperwork for laboratory director and unit supervisors to Ecology’s headquarters office.
Maintain the laboratory’s SharePoint site. Review documents and correct for completeness, form, clarification and conformance to policy and rules.
Manage the laboratory’s records and public information.
Order laboratory materials, supplies, parts and equipment. Research new sources of supply, locate and contact vendors and suppliers.
Qualifications
Required Qualifications:
Experience for both required and desired qualifications can be gained through various combinations of formal professional employment, educational, and volunteer experience. See below for how you may qualify.
A High school diploma or equivalent AND Two years of increasingly responsible office experience requiring keyboarding or typing.
Special Requirements/Conditions of Employment:
Must successfully pass the initial ePASS background check and any required subsequent checks which are required for access to the federal facility that houses the Ecology laboratory.
Desired Qualifications:

An Associate of Arts Degree.
One year of previous purchasing experience.
Three years of progressive experience in office/clerical/general administrative work in a Microsoft Office environment.
