Job Description

Position Summary

Urban Alliance is seeking a talented Grants and Budget Administrator (GBA) to develop, monitor, and report on grant, program, and regional budgets. The GBA will serve as a critical member of the three-person Finance Team that provides grant management and budget support for Urban Alliance’s $10 million in annual revenue. The GBA will possess strong interpersonal skills, a willingness to learn, and a commitment to advancing racial equity. The GBA will report to the Budget and Accounting Director and will work closely with the Development Team, as well as regional and national department managers.

Urban Alliance’s programming serves as a bridge between young people, employers, and schools by providing high school students with comprehensive soft skills and digital literacy training, paid internships with local employers, individualized mentoring, case management, and ongoing post-high school planning support. Urban Alliance is one of the few youth workforce development organizations to have its impact proven by a six-year randomized controlled trial and has been recognized as a leader in the field by the book Moneyball for Government, as well as the Chronicle of Philanthropy, NPR, Forbes, the Urban Institute, and the Obama Foundation.

 

Key Responsibilities

Grant Budget Development & Management

  • Collaborate with the Development Team and project managers to develop and submit timely, accurate, and high-quality grant budgets, analyses, and reports for internal and external audiences.
  • Develop, implement, and monitor grant management workflows to ensure adequate internal controls, efficient data reporting, and compliance with funder requirements.
  • Track grant schedules, deliverables, and compliance requirements to ensure deadlines are met.
  • Document payments and expenditures for grants in QuickBooks, compile supporting documentation for expenses as requested by funders, and submit invoices.
  • Utilize QuickBooks to prepare and analyze reports to monitor expenditures against grant and organizational budgets.

 

Operating Budget Development & Management

  • Provide budget recommendations to the Budget and Accounting Director based on input from department leads, grant-specific requirements, and analysis of programming and administrative needs.
  • Monitor and report on organizational revenue and spending to staff, the Board Finance Committee, and the Board of Directors to ensure adherence to budgets.
  • Estimate and forecast future financial needs and support programs with financial analysis.
  • Analyze the fiscal implications of budget requests and recommend courses of action.
  • Assist with the preparation of the organization’s monthly close and quarterly financials.
  • Perform financial reporting and forecasting in collaboration with the Development Team.
  • Organize budget templates and data in a clear and intuitive manner.
  • Record all payments in QuickBooks and ensure proper job coding and accounting treatment.
  • Reconcile grant and contribution revenue with the Development Team on a monthly basis to ensure the release of program funds and recognition of revenue as part of a key audit control.
  • Assist with identifying financial or operating risks associated with the execution of the contract or project.
  • Prepare schedules for revenue recognition, accounts receivable, and deferred revenue substantiation for the annual organizational audit.

 

Qualifications & Keys to Success

  • Professional experience: the ideal candidate will have a bachelor’s degree in accounting, finance, or business (or demonstrated experience in budget development and familiarity with GAAP functions in lieu of a degree) and at least 3 years of finance experience working with grants and budgets. The candidate will be familiar with federal grant regulations (CFR), ASC 606 revenue recognition, and ASU 2018-09 distinguishing between contributions and exchanges. The candidate will have experience with or a desire to build a career with a youth workforce development organization. The candidate will be proficient with Microsoft Excel and accounting software.

 

  • Teamwork and communication: the ideal candidate will be motivated, organized, and detail oriented with the ability to work interpedently and under supervision. The candidate will have the demonstrated ability to work effectively across numerous projects and a proven track-record of problem-solving. The candidate will possess strong oral and written communication skills and experience synthesizing and presenting information to audiences with varying levels of finance knowledge. The candidate will be a team player who is willing to assist staff outside of normal day-to-day duties as the need arises.
