Job Description

Kansas National Education Association (KNEA) is seeking qualified candidates for the Confidential Executive Assistant to the KNEA President and Vice President.

 

Position Description: The Confidential Executive Assistant provides high-trust, high-discretion executive support to the President, Vice President, Secretary-Treasurer, and Board of Directors. Reporting to the KNEA Executive Director, this role serves as a trusted partner to executive leadership by anticipating needs, exercising sound judgment, and bringing structure, clarity, and follow-through to complex schedules, communications, governance work, and Association events. The position requires professionalism, discretion, and the ability to work independently in a fast-paced environment. This role is based at KNEA Headquarters in Topeka, Kansas.

 

Qualifications:

  • Minimum of five (5) years of experience as an executive assistant, senior administrative assistant, or in a comparable role supporting senior leadership.
  • Demonstrated ability to work independently under deadline pressure while maintaining high-quality standards; exercises initiative, sound judgment, and follow-through with minimal direction.
  • Strong organizational and time-management skills, with the ability to manage multiple priorities and deadlines.
  • Excellent written and verbal communication skills, including attention to detail, grammar, and professional tone.
  • Highly proficient with the Microsoft Office Suite.
  • Demonstrated ability and willingness to maintain confidentiality, support KNEA’s mission, and work in an ever-changing environment.
  • Experience supporting boards, committees, or governance structures preferred.
  • Experience coordinating meetings or events involving logistics with multiple participants preferred.
  • Works effectively as a member of a team.
  • Ability to work occasional evenings, weekends, and travel as required.

 

Position Responsibilities:

  • Provide proactive executive support to the President, Vice President, and Secretary-Treasurer, including calendar management, meeting preparation, travel coordination, and executive correspondence.
  • Anticipate needs and manage competing priorities independently, adjusting schedules and logistics as circumstances change.
  • Serve as a primary point of contact for Association governance, exercising discretion and sound judgment when triaging requests, communications, and inquiries.
  • Prepare, organize, and distribute materials for Board of Directors and committee meetings.
  • Accurately capture meeting outcomes, including motions, decisions, action items, and deadlines; prepare timely, well-organized minutes and track follow-up through completion.
  • Plan and coordinate Association meetings and events (in-person and virtual), including scheduling, venues, travel, vendor coordination, materials, accessibility considerations, and day-of logistics.
  • Coordinate travel arrangements and itineraries for executive leadership and Association events.
  • Maintain highly confidential and sensitive information with professionalism and discretion at all times.
  • Operate with a high degree of autonomy while keeping executive leadership informed of progress, issues, and deadlines.
  • Provide coverage, as needed, for other Confidential Executive Assistants.
  • Perform other duties, as assigned.

 

Compensation and Benefits:

  • Salary range: $43,091-$69,119, commensurate with experience
