Job Summary


The Development Coordinator provides the highest level of administrative support to ensure the smooth execution of all activities for the Major Gifts department of the HGSE Development Office at the Harvard Graduate School of Education (HGSE). This position is responsible for performing a wide range of duties to ensure smooth daily operations, effective administration and clear communications. Serves as a key administrative contact and liaison for external and internal constituencies including alumni, donors, and faculty and development colleagues. Works independently with minimal supervision in a fast-paced work environment of multiple and changing priorities, anticipates and resolves problems.
Position Description

  • Performs necessary support duties for 2-3 frontline major and leadership gift fundraisers. These duties include but are not limited to: preparing agendas for officers' travel and internal meetings, drafting briefings, drafting and editing correspondence, and running donor reports. It also involves managing the officers' calendars, confirming appointments, making travel and accommodation plans, and reconciling officer and expenses.
  • Supports the frontline portfolio work of the major gift fundraisers by serving as a strategy/thought partner, actively advancing next steps for cultivation, solicitation, and stewardship, guided by an understanding of HGSE and the University and funding priorities and activities. Help prepare for and participate in high-level prospect strategy meetings.
  • Responsible for implementing and coordinating logistics for small cultivation and stewardship events and will drive appropriate follow-up process with major gift officer.
  • Assists with the coordination and execution of essential internal and external meetings.
  • Conducts internet and database research on donors, and cooperation with the University's research department. The coordinator will work with University Research to identify, edit, and managing the process for submitting requests to the University Research office/relaying results. Meets with University Research monthly to review outstanding items and future projects.
  • Actively support the major gift fundraisers by reviewing and making suggestions with our Research partners to help stimulate ideas for donors and prospects. Regularly review donor activity across Harvard and philanthropic landscape to be best informed and participatory in strategy meetings.
  • Contributes to briefings for senior level administrators, faculty, and the dean by conducting research and utilizing resources to prepare the first draft and making the document ready for officer input, including writing background information, objectives and talking points for the dean.
  • Pulls, organizes, and analyzes donor lists for use in prospect and pipeline development. Manages the agenda creation, meeting invitations, and notes for meetings including the DSM and Deal Team meetings for their respective officers.
  • In coordination with central data operations, maintains officer pipelines and dean's priority prospect pipelines, and keeps data accurate and updated according to the donor life cycle.
  • Oversees the entry and upkeep of major gift fundraisers Next Step Tasks. Follows up with fundraisers to ensure they are completing assigned tasks in a timely manner.
  • Performs administrative duties to support officers such as entering trip reports and other contact reports into ADVANCE database system. Maintains visit trackers for major gift fundraisers ensuring all steps of a visits life cycle are complete.
  • Participates, where appropriate, in the design of an overall strategy for department-wide initiatives, events and special projects. Effectively and professionally represents the Development Office and HGSE, as appropriate, in internal and external meetings.
  • Arranges, coordinates, and manages business travel. Processes corporate card and expense reports.
  • Performs other duties as required in response to the changing needs of the department.



Basic Qualifications

Minimum three years of experience in a related, office environment. Proficient working with MS office suite including Word, Excel and PowerPoint. Ability to work occasional overtime is required.

Additional Qualifications and Skills


BA/BS degree strongly preferred. Excellent organizational skills. Must be able to manage multiple assignments from multiple sources, be efficient, organized, detail-oriented, and able to meet project deadlines. Must possess exceptional written and oral communication skills, and the ability to comprehend and summarize detailed research reports and press articles to create comprehensive briefings. She or he will convey the ability to maintain confidentiality and exercise sound professional judgment, and demonstrate a strong commitment to higher education. The ideal candidate will be professional, enthusiastic, collaborative, motivated to learn, flexible, reliable, self-motivated and will be able to work effectively with people from different backgrounds and experiences. She or he will demonstrate an interest in HGSE's mission and institutional priorities. Additionally, the candidate will possess strong computer skills, will have experience with a range of web-based resources, and will work with the capacity to master new software applications and technologies.
