WHAT YOU NEED TO KNOW:

In this position you provide administrative support for two reference testing laboratories (IRL)  the American Rare Donor Program (ARDP) staff, and will act as a production assistant for a peer-reviewed scientific publications released quarterly.  Administrative support involves placing internal and external purchases, scheduling meetings, test report management and billing support as well as managing ARDP communications to rare donors, including through use of a custom web-based application. Production assistant tasks involve communication with authors, peer-reviewers, subscribers and e-publishing staff as well as use of a web-based platform for manuscript submission and peer-review.

A successful candidate will have strong computer and organizational skills, be able to manage multiple tasks and multiple projects simultaneously, and be self-motivated, with excellent written and oral communication skills.

Key Responsibilities:

  • Prepare and maintain memos, records, reports, data or correspondence for staff signature. Review correspondence for consistency with corporate policies and practices.  
  • May assist in the development of presentations.
    Perform general administrative duties such as maintaining and collecting data, coordinating the provision of organizational services (i.e. purchasing, supplies, catering, copying/printing), coordinating unit mail and communication flow, assisting in expenditure tracking and budget preparation.
  • Screen telephone and office callers and resolve routine inquiries.  Answer routine requests and direct others to supervisor, appropriate staff member or another office.
  • Schedule and maintain calendar of appointments, meetings, events, program initiatives and travel itineraries.
    May relieve other administrative staff in the unit during temporary absences.

Standard Schedule: Monday-Friday 8-4:30 (or could be 8:30 to 5:00 pm)   

Pay Information: $23.00

WHAT YOU NEED TO SUCCEED:

  • Education: High School or equivalent is required.
  • Experience: Minimum 5 years of related experience or equivalent combination of education and related experience required.
  • Skills & Abilities: Good verbal and written communication skills.  
  • Proficient in personal computer use and Microsoft Office Suite.
  • Proficient typing skills are required.  
  • Ability to work on a team.
  • Ability to work independently; self-driven; Team Focused
