Job Description

The City of Naperville seeks a Records Technician to perform a variety of moderately complex administrative and clerical tasks related to the receipt, retention, analysis, and processing of municipal licenses and permits, records, and documents. This position provides answers, solves problems, and completes requests from residents and employees.

Duties

  • Facilitates various licensing and permitting processes.  
  • Collects, processes, and records applicable fees and/or fines. 
  • Partners with departments to provide overall coordination of the Freedom of Information Act process. 
  • Procures goods via purchase orders, check requests, and procurement card. 
  • Prepares invoices for municipal grant programs.  
  • Facilitates the routing of forms and supporting documentation in accordance with departmental approval processes. 
  • Performs public hearing and public information notice responsibilities.  
  • Captures, enters, scans, indexes and maintains information in City record systems (paper and electronic) according to approved procedures and State of Illinois retention requirements. 
  • Assists residents with voter registration and early voting procedures. 
  • Provides logistical and administrative support for pre- and post-City Council meetings/workshops.   
  • Performs research related to FOIA, past legislation, property information, etc. for internal and external customers.
  • May compile and prepare monthly operational reports tracking permit activity, licensing activity, and related revenue data.
  • May transmit or deliver municipal documents to county offices for official recording. 
  • May support basic licensing and application programs.
  • Performs all other duties as assigned.

Qualifications

Required:

  • High school diploma or equivalent.   
  • One year of experience in customer service, records management and/or data processing.
  • Equivalent combinations of education and experience may be substituted.
  • Ability to obtain and maintain appointment as an Illinois Notary Public within six (6) months of hire.
  • No Driver's License required.

Preferred:

  • Some college coursework.
  • Ability to obtain and maintain appointment as a Voter Registrar.
