Job Description

The City of Naperville’s Water Utility is currently seeking an Administrative Assistant to perform a variety of administrative, secretarial, and clerical tasks to support Utility managers and/or divisions.  

The anticipated hiring range for this position is $21.6176 - $23.7794 per hour, commensurate with credentials and experience.  The Pay Grade for this position is N205.  For additional information, please click here (Download PDF reader).

Duties

  • Prepares and processes documents and spreadsheets related to functions such as purchasing, personnel, payroll, bids, reimbursements, and budget.
  • Enters, retrieves, and maintains electronic data.
  • Develops and maintains physical files.
  • Locates and retrieves information from City records, electronic or physical, as requested by customers or staff.
  • Prepares correspondence, memos, reports, lists, minutes, and other documents as directed.
  • Purchases office supplies for the division.   Monitors and maintains supply inventory.
  • Performs general clerical tasks including scanning, copying, and collating.
  • Sorts and distributes mail for a division.
  • Answers and directs phone calls.  Responds to general inquiries and/or creates work orders and dispatches crews.
  • Assists in maintaining division calendars and schedules various activities.
  • Performs all other duties as assigned.

Qualifications

Required

  • A high school diploma or equivalent.
  • One to three years of experience providing administrative support.
  • A valid State of Illinois driver’s license.
