Position Summary:
The operations assistant (OA) is the first point of contact for all Hope House Colorado (HHC) Early Learning Center (ELC) guests providing a warm and friendly welcome to our teen moms, families, volunteers and visitors. The OA manages the HHC phone system in an efficient and engaging manner and upholds “HHC’s Excellent Environment” standards. The OA sets the tone for all who come through the doors, ensuring each guest feels like they have found a place to belong. Duties and responsibilities also include office administration, building management support, administrative support and volunteer coordination to ensure efficient operations.

What you will be doing:
Consistent completion of HHC’s Early Learning Center daily operational checklists at the highest level of execution
Coordinate volunteer receptionists; delegate projects and tasks that utilize each volunteer’s strengths; ensure desk coverage when volunteers are unavailable or working away from the desk; and lead volunteer appreciation for front desk volunteers
Diligently manage the sign in/sign out process for all guests and teen moms through the Raptor® visitor management system (Must be comfortable upholding standards and safety protocols and managing tension and occasional conflict)
Manage child approval pick-up list during drop off and pick up time and keep the list updated as necessary
Warmly receive and direct incoming calls, including crisis calls.
Knowledgably provide callers general information about Hope House Colorado, the ELC, donation times/types of donations accepted, and provide referrals to other programs and community partners.
Monitor and manage inventory of office supplies; anticipate needs and proactively order supplies to minimize downtime; distribute office supplies as necessary; verify receipt of supplies; and organize for ease of access and maintenance of HHC Excellent Environment standards
Implement daily opening/closing procedures, which include sanitization of common areas, preparation of the front entry area, emptying trash and cleaning
Complete assigned operations, human resources, IT and facilities tasks for director of operations (DOO), director of childhood education, and ELC assistant director with precision and in a timely manner
Efficiently complete administrative duties such as filing, typing, copying, binding, scanning etc.
Promote Hope House Colorado’s Core Values throughout the organization and external relationships

Duties
What makes this role unique?
As our first point of contact, you will manage the front lobby area and our main Ecology phone line, responding to general inquiries from the public in both English and Spanish, government agencies and staff, both in person and over the phone so you will need to be able to multi-task while maintaining a high level of professionalism. You will engage with Ecology’s ten environmental programs and make determinations on directing inquiries. You’ll be responsible for coordinating emergency personnel (i.e. fire, police and medical) that come to the building in response to an emergency, serving as the first line of security for the Central Region Office. What you will do:
Use a multi-functional telephone with five incoming lines.
Process outgoing and incoming mail.
Direct customers to appropriate staff for assistance, handling multiple forms of communication simultaneously, and providing courteous customer service.
Use agency standard computer and computer software to:
Create, maintain, and print documents.
Access information on the web page.
Communicate through electronic mail.
Access the calendar and schedule time.
Schedule conference rooms.
Communicate effectively, verbally and in writing, with co-workers, agency staff, private sector and other government agencies. Maintain effective working relationships.

What makes this role unique?
As our first point of contact, you will manage the front lobby area and our main Ecology phone line, responding to general inquiries from the public in both English and Spanish, government agencies and staff, both in person and over the phone so you will need to be able to multi-task while maintaining a high level of professionalism. You will engage with Ecology’s ten environmental programs and make determinations on directing inquiries. Duties
What you will be doing:
In this role you will use various subject guides to direct complex incoming calls and walk-in customers to the appropriate program or staff person with the agency. This includes reports of environment incidents that require documenting pertinent information and transferring to the Environmental Report Tracking System (ERTS) Coordinator for follow up. The receptionist directs visitors, conducts records management, facility management, data entry, SEPA routing, distributing and processing mail/packages.
Some of the key work activities of the Receptionist position include:
Works independently and with limited supervision at the reception desk.
Responds to general inquiries from the public and agency staff, both in person and over the phone regarding agency programs, issues and functions.
Responds to general questions from staff on how to access agency services such as conference/meeting rooms, US postage, and package deliveries.
Receives and routes telephone calls from the public and other agencies reporting an environmental incident or spill. When the Spills team and ERTS coordinator are out of the office determines if the incident requires immediate action. Contacts the appropriate program to respond to incident. Records information for the ERTS coordinator.
Coordinates emergency services by taking appropriate steps to call 911 and the Regional Business Administrator. Serves as the first line of security for the Central Regional Office.
Ensures agency security procedures are implemented.
This position is support critical and an in office environment. The schedule is Monday – Friday. Position may work a flexible [8 hours/day] schedule, between the hours of 7:30 and 5:30. Work assignments may require occasional travel, including overnight stays up to two nights per occurrence throughout the state.

Required Qualifications: High school graduation or GED and two years of clerical experience. Speak fluently in English and Spanish.

Duties
What you will be doing:
In this role you will use various subject guides to direct complex incoming calls and walk-in customers to the appropriate program or staff person with the agency. This includes reports of environment incidents that require documenting pertinent information and transferring to the Environmental Report Tracking System (ERTS) Coordinator for follow up. The receptionist directs visitors, conducts records management, facility management, data entry, SEPA routing, distributing and processing mail/packages.
Some of the key work activities of the Receptionist position include:
Works independently and with limited supervision at the reception desk.
Responds to general inquiries from the public and agency staff, both in person and over the phone regarding agency programs, issues and functions.
Responds to general questions from staff on how to access agency services such as conference/meeting rooms, US postage, and package deliveries.
Receives and routes telephone calls from the public and other agencies reporting an environmental incident or spill. When the Spills team and ERTS coordinator are out of the office determines if the incident requires immediate action. Contacts the appropriate program to respond to incident. Records information for the ERTS coordinator.
Coordinates emergency services by taking appropriate steps to call 911 and the Regional Business Administrator. Serves as the first line of security for the Central Regional Office.
Ensures agency security procedures are implemented.
This position is support critical and an in office environment. The schedule is Monday – Friday. Position may work a flexible [8 hours/day] schedule, between the hours of 7:30 and 5:30. Work assignments may require occasional travel, including overnight stays up to two nights per occurrence throughout the state.
Qualifications
Required Qualifications: High school graduation or GED and two years of clerical experience. Speak fluently in English and Spanish.
